Overview

KAI Enterprises is seeking a creative and skilled Marketing Coordinator to support proposal and marketing efforts companywide. This full-time role supports the Director of Marketing and Marketing Manager, manages day-to-day marketing responsibilities, and supports multiple projects concurrently. Key responsibilities include maintaining the website, developing responses to RFPs / RFQs, creating marketing campaigns using digital and print graphics, and providing CRM and administrative marketing support. The ideal candidate is organized, creative, self-motivated, and thrives in a hybrid work environment while collaborating across offices.

Responsibilities

Marketing & Sales Support : Provide key support to Marketing and Business Development teams.

Proposal and Presentation Support : Organize and coordinate the preparation of proposals, client meetings, project interviews, sales packets, and submittals to meet guidelines and deadlines.

Final Proposal Product : Responsible for printing, binding, and delivery or electronic submission.

Marketing Materials : Develop and maintain marketing resources such as brochures, data sheets, project lists, and presentation slides.

Data Management : Maintain accurate project data and personnel records, ensuring resumes and files are current.

Photography and Graphics : Develop graphics and maintain photo files.

CRM Support : Maintain CRM databases.

Coordination : Collaborate with and assist other marketing team members.

Vendor and Supplier Coordination : Lead vendor registration efforts and coordinate group mailings.

Contacts : Manage group mailings and contact lists.

Social Media & Website : Support the Communication Specialist with social media and manage corporate websites, including site updates and blog posts.

Email Marketing : Lead email marketing campaigns, e-newsletters, and special events.

Event Coordination : Assist in organizing client and community outreach events (conferences, career fairs, trade shows, golf outings, volunteer programs, etc.).

Award Submissions : Support the Marketing Manager in preparing award submissions.

KAI Closet : Support the online apparel pop-up store.

Required Skills

Strong proficiency with Adobe InDesign.

Familiarity with Adobe Photoshop, Lightroom, and Illustrator preferred.

Knowledge of email marketing tools such as Constant Contact and Hootsuite is a plus.

Social media experience on LinkedIn, Facebook, YouTube, and Instagram preferred.

Knowledge of web analytics tools such as Google Analytics is a plus.

Experience with CRM products such as Unanet, Deltek, or Cosential preferred.

Effective communication skills.

Ability to work efficiently and stay organized.

Ability to remain focused and confident under tight deadlines.

Strong editing and proofreading abilities.

Required Experience

Bachelors degree in marketing, communications, or related field (equivalent accepted).

Marketing experience in architecture, engineering, construction, or real estate development preferred.

Experience producing proposals, marketing materials, and graphics required.
