Description
Central Life Sciences is searching for an Administrative Assistant in our Dallas, TX location. This position will perform administrative duties for executive management. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports, training, and supervising other support staff. Requires strong computer and internet research skills. Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
KEY RESPONSIBILITIES
1. Priorities :
- Relieve management of administrative detail, all projects
- Coordinate workflow
- Update and chase delegated tasks to ensure progress to deadlines
- Take initiative in manager’s absence
- Keep projects on schedule
- Maintain procedures manuals to ensure consistent performance of routines
2. Communication :
Compose correspondence / reports for own or manager’s signatureArrange essential mail in priority action order for executiveCheck deadlines on incoming requests and put preliminary work in playProcess replies on own initiative or from executive’s’ dictation or notesLiaison for Dallas Vendor (Non-Inventory) additions and changes in SAP with Master Data TeamLiaison for Dallas SAP Security additions and changes with CG&P Security Team3. High school education, some college and / or business courses5+ years’ experience supporting at the executive levelExcellent calendar management skills, including coordination of complex executive meetingsExperience assisting management with the creation of PowerPoint presentationsStrong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook, SAP helpfulExperience scheduling both domestic and international travel for managementExcellent verbal & written communication skills, diversified PC based application skills, proficiency with office equipment technologyPleasant disposition / excellent people skills, professional appearance, self-starter, highly dependableDetail oriented, organized, and quick thinkerWORKING CONDITIONS
