Order Processing Associate

The primary responsibilities of the Order Processing Associate are to ensure that all necessary selections, plans, and diagrams are compiled into the job file, material and labor demands are input correctly as to size, type, color, style, design, and amount, and work order instructions are input to facilitate the installation process. This individual must be a strong problem solver, superior communicator, and demonstrate diligence and urgency in their responses to both customers and peers.

Essential Functions :

Level I :

  • Gather all necessary documents (selection sheet, plans, minis, takeoffs, material spec sheets) to generate the order
  • Compares color selection sheets to floor plans and diagrams and verifies accurate quantities of raw materials have been requested
  • Completes work order forms, compile information for crew leaders / workers, drivers, quality control, Area / Production Managers and Accounting
  • Uses intermediate math skills and spreadsheet ability to compute and determine accurate square footage, yardage, linear feet, circumference, area, etc., and calculates figures and amounts such as discounts and percentages, using addition, subtraction, multiplication, and division to coordinate the ordering of appropriate materials and understand blueprints relating to design
  • Facilitates model home ordering with assistance from sales team, completes model home discount forms, reviews orders for completeness and accuracy, orders shorts and type deficiency reports, maintains electronic folders, and assists customer service personnel as assigned
  • Applies common sense understanding when conducting tasks
  • Communicates with Production, Sales, Design Center, Estimating, Purchasing, and Field staff to clarify any questions or discrepancies to avert problems
  • Ensure that all required daily activities are completing in a timely manner with minimal supervision
  • Processes change orders expeditiously and communicates urgency impacted internal customers
  • Follows instructions and responds to management's direction
  • Takes responsibility for own actions and keeps commitments
  • Commits to extended work schedules of work when necessary to reach goals
  • Completes tasks on time or notifies appropriate person with an alternative plan of action
  • Attends all required meetings and trainings
  • Adheres to all Company policies and procedures
  • All other job duties as assigned

Level II :

  • All functions included in Level I
  • Works with more complex customer accounts
  • Processes models
  • Assists with training Level I employees
  • Level III :

  • All functions included in Level II
  • Conducts training of Level I and Level II employees
  • Conducts root cause analysis
  • Recommends areas of improvement
  • Skills and Qualifications :

    Level I :

  • High school diploma or general education degree (GED) required.
  • Strong written and verbal communication skills
  • Interpersonal skills to develop and maintain professional working relationships with builders, vendors, subordinates, and co-workers
  • Communicates effectively with customers, co-workers, and supervisors in a professional and courteous manner
  • Proactively identifies, analyzes, addresses, and resolves problem areas, conflicts, and issues
  • Exhibits sound and accurate judgment, supports, and explains reasoning for decisions, includes appropriate people in decision-making process, and makes timely decisions
  • Strong organizational skills to ensure adequate tracking systems are utilized to maintain and track all required information associated with the ordering and production process
  • Working knowledge of internet, spreadsheet, and word process software and order processing systems
  • Preferred :

  • Associate's or Bachelor's Degree / 2-year Technical School preferred or minimum of two years related experience and / or training; or equivalent combination of education and experience
  • 1 year of applicable job experience
  • Bilingual experience (English / Spanish)
  • Thorough knowledge of all available products used by the Company as it relates to product installation
  • Job Competencies :

  • Basic technology skills, including MS Office Suite
  • Professional level verbal and written communication skills and the ability to negotiate agreements between parties with different perspectives.
  • High level of organizational skills, time management skills, and ability to work effectively in a fast-paced environment to consistently meet deadlines
  • Level II :

  • All skills and qualifications in Level I
  • Minimum 1 year experience
  • Level III :

  • All skills and qualifications in Level II
  • Minimum 3 years of experience
  • Strong problem-solving skills
  • Work Environment and Physical Requirements :

  • Work performed in an office environment
  • Ability to sit for an extended period and operate shared office equipment and keyboards
  • Salary range $23-25 / hr
