Purpose and Scope
The Director of Operations is responsible for both the strategic and day-to-day operations of all Kids Smiles locations. S / he will adhere to the Kids Smiles mission, vision, and core values and will be responsible for ensuring continuity of the Kids Smiles brand and philosophy. The Director of Operations will act as a liaison for the Kids Smiles mission to all employees and external parties.
Job Responsibilities
- Strategically plan for the growth and expansion of the Kids Smiles mission and advance the strategic plan set forth by the organization.
- Work closely with the executive management team in determining and advancing the global strategic positioning of the organization.
- Responsible for participating with executives in the creation of an annual budget.
- Coordinating the management team to prepare and implement annual work plans.
- Oversees the Regional Business Manager and supports their efforts with the direction of four office managers, over 75 employees, and 3 clinical centers, ensuring the strategy and tactics for successful operations.
- Assess, identify, develop, and implement program standards and practices to improve operational success across all offices to ensure a positive patient experience.
- Responsible for direct problem solving, staff management, and conflict resolution in regard to escalated issues amongst operational employees, in conjunction with Human Resources. Conduct management-level performance reviews
- Foster a positive workplace culture, employee engagement, and professional development opportunities
- Responsible for the monitoring of weekly and monthly production reports to identify trends, scheduling issues, and patient attendance rates. Identify and address glaring discrepancies in daily production to effectively troubleshoot issues to meet the KPI's developed with the DoO and CFO.
- In conjunction with the appropriate management party and Human Resources, responsible for various aspects of hiring, training, retention, and separation.
- Regularly reviews facilities inventory and needs, including office space, furnishings, and vehicles; handles IT / hardware / software functions for all Kids Smiles locations.
- Ensures compliance with standards established by grants and with all state, local, federal, and OSHA requirements; ensures compliance in conjunction with other departments.
- Plan with the executive assistant and the development department branding and advertising strategy to grow the patient base.
- Participate and support all Kids Smiles board and staff events and activities.
- Attendance at all relevant Kids Smiles and Board of Directors meetings.
- Production of monthly, quarterly, and year-end reports to the CEO and / or the Board of Directors.
Required Experiences and Skills
Bachelor's in Management, Health Administration, Public Health, or related field required.Advanced degree in Health Administration or Nonprofit Management, preferred.5+ years experience in direct operational management; dental operations preferred.Understanding of medical assistance, Medicaid, and public health dentistry is a plus.Ability to work well with diverse populations, patients, healthcare providers, and staff.Excellent verbal and written communication skills.Strong interpersonal skills.Strong problem-solving and analytical skills.Multitasking and prioritization skills.Strong leadership and strategic management skills.Ability to work in a fast-paced, team-oriented environment with diverse populations; adults and children.Location / Travel
This position is located in Philadelphia, PA and requires 35% travel.
