Police Support Specialist
Under general supervision, the Police Support Specialist is responsible for performing a variety of police support services and customer service duties. This individual carries out responsibilities in accordance with the organization's policies and follows applicable local, state, and federal laws, including direct contact with members of the public that require police services, sometimes needing to deescalate distraught members of the public.
Essential Duties & Key Responsibilities
- Performs general support functions; receives mail; receives and distributes package deliveries; greets visitors; Requires the use of a multi-line phone system and voicemail system. Effectively communicates with the public and department personnel by telephone, email and mail
- Reviews reports for accuracy and completeness following FBI NIBRS coding requirements and ND State Laws; Reports data updates to ND BCI
- Composes and / or types letters, forms and reports
- Trained and certified to perform data entry into and / or inquiry functions from various law enforcement and City of West Fargo databases
- Build and run statistical and data reports
- Obtains fingerprints for the public, court, offender registration and for PD security requirements.
- Follows an established filing system for various documents and files; compiles information from such files; reviews files for completeness and accuracy; Purge files as required by State and Federal reporting requirements.
- Prepares and releases police records according to Open Record Laws to the general public, courts and other government agencies.
- Responsible for taking cash, check, or electronic payments from the public for licenses, pound fees, city fines, and various fees. Reconcile till daily and submit report to the finance department.
- Responsible for following Physical Protection Policy to maintain the secure police area. Monitors building alarms, secure entry and cameras; calling for emergency assistance appropriately.
- Provides and receives information of both a routine and confidential nature; maintaining confidentiality
- Participates as a team member in organizations, groups, and events.

One year of specialized technical training in office administrative skills and one or more years of previous administrative support experience; or an equivalent combination of both education and experience sufficient to successfully perform the essential duties of the job;Complete and pass a fingerprint-based background check.Valid driver's license.Ability to calm irate people and resolve conflict;Organized and a strong attention to detail;Effectively present information and respond to questions from the public and co-workersKnowledge of general practices and procedures including basic office workflow and record keeping practices; skills in office functions such as answering phones, typing, data entry, filing, etc.Strong skills in sentence structure, spelling and punctuationKnowledge of data processing methods, information storage and retrieval techniques.Knowledge of basic record-keeping practices;Must have the ability to read, analyze, and interpret procedures, guidelines, or government regulations.Skill in basic mathematical computations;Skill in communication, interpersonal skills as applied to interaction with co-workers, supervisors, the general public, and others; sufficient to exchange and / or convey information and to receive work direction;Ability to create and maintain effective working relationships with peers, superiors, and other City departmentsSupplemental Information
