Specialist, Operations

Primary Duties and Responsibilities :

  • Serve as the primary point of contact supporting, ensuring seamless operational and compliance alignment.
  • Monitor and resolve system exceptions and ad-hoc operational assignments to reduce disruption and maintain workflow integrity.
  • Proactively identify opportunities for process and performance improvement across Operations and ICLs, apply strong critical thinking, and turn insights into action.
  • Analyze and diagnose system issues, identify data anomalies, and collaborate with relevant teams for resolution.
  • Support operations projects as needed, including audits, ad-hoc reporting, and post-implementation reviews.
  • Recommend and implement workflow enhancements that improve marketing operations and service delivery.
  • Escalate identified training or coaching opportunities for ICLs and Operations teams to promote continuous improvement.
  • Ensure full adherence to internal policies, compliance regulations, and company procedures.
  • Demonstrate reliable, punctual, and consistent attendance.
  • Perform other duties as assigned to meet evolving business needs.

Required Qualifications :

  • 23 years of administrative or coordination experience in a cross-functional, fast-paced business environment.
  • Excellent organizational skills with high attention to detail and accuracy.
  • Strong verbal and written communication skills with a professional demeanor.
  • Proven ability to prioritize and manage multiple tasks and deadlines with minimal supervision.
  • Demonstrates accountability and self-direction while working independently or collaboratively.
  • Comfortable interpreting and applying rules, procedures, or operational standards.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
  • Preferred Qualifications :

  • Experience with Salesforce or other CRM platforms.
  • Bachelor's Degree in Business, Communications, or a related field.
  • Familiarity with workflow automation or low-code tools (e.g., Zapier, Alteryx) or use of AI productivity tools (e.g., ChatGPT, Microsoft Copilot).
  • Background in supporting field sales teams, compliance, or service operations is a plus.
