Title : Administrative Support / Project Information Specialist

Location : Arlington, VA

Salary : Commensurate with experience.

Clearance : Secret Clearance– Required and Must Be Able to Maintain

Job Description :

Admin Support / Project Information Specialist maintains inventory and organizes documents in an electronic database for storage on the shared directory or intranet for easy reference. Provide assistance to staff on the identification of CAF documents for incorporation into the database. Serve as primary Point of Contact (POC) for records management, to include receiving official documents (administrative or programmatic) from the staff to initiate the creation of new files, develop the file structure (content), scan, label, organize the material, circulate files, establish filing procedures, take inventory, control access, ensure quality control, and that proper file retention policies are followed.

Typical duties include :

  • Create and implement organizational or administrative management policies and procedures
  • Evaluate program effectiveness and recommend improvements
  • Provide training and technical assistance to staff
  • Experience with travel management
  • Physical ability to move a large number of files and / or file boxes
  • Provide on-site technical support, troubleshooting issues with AV equipment during events such as microphone and monitor connectivity; presentations or visual material access
  • Create and edit audio-visual content such as presentations and videos
  • Set up conference, board, or training rooms
  • Manage multiple tasks, prioritize work, and meet deadlines
  • Identify and resolve complex problems

Educational Requirements :

  • Bachelor’s degree in business, management, or related degree
  • Experience Requirements :

  • 7 years of administrative management or relevant work experience
  • Proficient in the use of commercial software packages and databases, such as Microsoft
  • Outlook, Teams, Word, PowerPoint, and Excel.

  • Experience in information and records management
  • Experience with other administrative services like office management, building and facilities management, human resources, and / or budget / finance
  • Proficient in the use of a variety of IT programs, databases, and computerized systems
  • Excellent written and verbal communication skills
