Job Title
To serve as a civilian employee of the Indiana State Police whose primary responsibility is to efficiently manage the federal grants / projects for the Indiana State Police Department.
Job Duties
Assist with the preparation, administration and submission of grants.
Make recommendations to supervisors on the interpretation of grant rules and regulations.
Maintain accurate ledgers for grant / project awards.
Process grants financial activity reports and grant reimbursement.
Process and enter GL journals in PS.
Provide projections as requested by the Director of the Fiscal Section.
Assist with quarterly review of the state's Schedule of Expenditures of Federal Awards.
Oversee federal audits.
Serve as liaison to federal, state and local agencies as directed by the Director of the Fiscal Division.
Represent the Department at meetings with various state and federal agencies.
Assist in the preparation and submission of grants / projects for the approval of the federal funding agency.
Maintain accurate and complete grant financial records and grant files.
Audit expenditures posted to grants to ensure accuracy and consistency with state and federal guidelines.
Prepare and submit federal drawdown requests for reimbursement of expenditures.
Process and enter GL journals in PS for corrections as needed.
Provide projections of expenses to the Director of the Fiscal Section for assigned grant awards as needed.
Assist with a spreadsheet check of the state's Schedule of Expenditures of Federal Award for certification by the Director of the Fiscal Section.
Prepare quarterly estimated expenditure reports for program personnel to ensure full utilization of federal funds.
Perform other duties as required.
Job Qualifications
Bachelor's Degree in Administration or Accounting. Related academic training or work experience may substitute for degree where appropriate.
Ability to resolve financial inquiries.
Working knowledge of state and federal accounting procedures.
Working knowledge of the state's federal draw billing process.
Knowledge of state procurement procedures.
Ability to work with computerized word processing, spreadsheets, databases and software.
Ability to operate and maintain office equipment to include computer and copy machine.
Ability to function independently
Ability to maintain confidentiality.
Ability to interpret and apply rules, regulations and guidelines (Federal and State).
Must be able to access, input, retrieve and analyze information using a computer.
Ability to communicate effectively, both verbally and in writing.
Must be able to organize, file and retrieve information.
Must be able to proofread documents for accuracy.
Must be able to work with minimal supervision, prioritize work and meet deadlines.
Must be able to apply basic accounting and math skills.
