Position Overview

As the Executive Personal Assistant, you will provide high-level administrative and personal support to the Company President ensuring smooth day-to-day operations. You will act as a trusted gatekeeper, managing communications, travel, scheduling, and special projects with a high degree of professionalism, discretion, and autonomy. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities with discretion and efficiency.

Key Responsibilities

  • Manage and maintain schedules, appointments, and meetings
  • Coordinate travel arrangements, including flights, accommodations, passports / visas, and itineraries
  • Screen and manage incoming communications (calls, emails, mail)
  • Prepare reports, presentations, and confidential documents
  • Assist with personal tasks and errands as needed (e.g., reservations, gift purchasing, family coordination)
  • Plan and execute events, meetings, and offsites
  • Anticipate executive’s needs and proactively resolve issues
  • Handle expense reporting and basic bookkeeping
  • Assist with document preparation, email management, and data entry
  • Organize files, records, and correspondence (both physical and digital)
  • Run occasional personal errands and assist with household / vendor coordination
  • Liaise with internal departments and external vendors on behalf of the executive
  • Prioritize tasks and follow up to ensure timely completion
  • Maintain strict confidentiality at all times

Qualifications

  • 5+ years of experience supporting C-level executives in a fast-paced environment
  • Exceptional organizational and time-management skills
  • High level of discretion, integrity, and confidentiality
  • Strong communication and interpersonal skills
  • Tech-savvy and proficient in Microsoft Office, Google Workspace, and scheduling / travel tools
  • Ability to multitask and adapt quickly to changing priorities
  • Bachelor’s degree or relevant certifications preferred
  • Notary Public
