SUMMARY
The Executive Assistant provides high level administration assistance to the CEO. They ensure priorities of the CEO are met, assists the CEO with strategies and goals of the organization. Serves as a gatekeeper for the CEO to screen visitors and staff do determine what support they need offering polite, professional customer service. Assists the CEO with maintaining a highly functioning calendar to ensure CEO meets obligations and deadlines.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- As the face of the CEO office must have strong diplomatic, professional skills and present well to employees, outside visitors and stakeholders
- Ensure the CEO is prepared for upcoming meetings and has the necessary background info gathered for an efficient meeting.
- Ensuring accuracy when creating correspondence, memoranda, reports, copies and distributes information as directed, including mass mailings or internal communication; utilizes various word processing, data bases and spreadsheets when required; has operating knowledge of advanced copy machines, fax, shredders, and other appropriate office equipment.
- Assist the Executive Assistant as needed
- Sets up and maintains CEO area files and assures they are easily accessible
- Completes special or ongoing projects as assigned, which require advanced skills
- Assists with office opening / closing responsibilities as pertains to assigned area, which includes securing confidential items
- Make travel arrangements for the CEO as requested.
- Performs other duties as required
QUALIFICATIONS
College degree, paralegal or equivalent work experienceTwo years administrative office experience, preferred in a medical environmentMust have excellent time management and ability to meet deadlinesMust possess strong verbal and written communication skillsMust have strong organization skills and the ability to multitaskMust have strong initiative and the ability to work independentlyMust be skilled in Microsoft Office, Outlook, Excel and other general office programsExperience in a position, which requires attention to multiple tasksExcellent interpersonal and communication skillsCommitment to the mission of Red Rock BHSAdvanced knowledge in computer hardware / software use, preferredPHYSICAL REQUIREMENTS
