Description :

Office Managers (level 1) are responsible for all basic office operations, including but not limited to : patient care, local / remote PCS team management, facility management, and team cooperation and collaboration.

Duties / Responsibilities :

Essential :

  • Oversee daily office operations, including patient communication, phone calls, and order processing.
  • Maintain inventory levels for medical supplies and equipment
  • Schedule patient equipment deliveries and pick-ups.
  • Ensure proper documentation and filing of patient and billing records.
  • Monitor office cleanliness and ensure compliance with health and safety standards.
  • Ensure office is up to date and within standards of compliance requirements.
  • Manage budget – Reportable to Senior Manager, Comptroller, and CFO
  • Approve timecards and time-off requests.
  • Business Development Manager readiness for satellites.
  • Product knowledge of products in catalogue.

Non-Essential :

  • Assist with planning small office events or gatherings.
  • Support project-related administrative tasks as needed.
  • Perform other duties assigned by management.
  • Provide answers to questions / issues from other departments.
  • Track PCS1 90-day introductory period and On the Job Training (OJT)
  • Make sure office staff certifications / CEU’s remain up to date.
  • Supervise new Certified Orthotic Fitters COF and prepare non-certified team members to become certified as a COF.
  • Duties for Performance Appraisal :

  • Ensure patient orders are processed within 24 hours.
  • Maintain inventory accuracy above 95%
  • Complete all documentation and expense reports within set deadlines.
  • Respond to internal and external inquiries within 24 hours.
  • Meet key performance indicators (KPIs) on a consistent basis.
  • Required Skills / Abilities :

  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office / Gsuite Platforms.
  • Interdepartmental collaboration, cooperation, and teamwork
  • Ability to manage and balance office staffing needs with PTO needs of the internal and external teams.
  • Leadership and mentoring skills and the ability to counsel team members in all circumstances, to include recognition for positive impacts and corrective action for unmet standards.
  • Exemplify the company mission and culture.
  • Education and Experience :

  • A high school diploma or GED is required.
  • Certified Orthotic Fitter (COF) is required.
  • Minimum of 6 months of experience in providing customer services in a health care setting, medical office, sports rehab, fitness, or retail environment.
  • Minimum of 6 months of experience in a leadership / management role.
  • Preferred Education and Experience :

  • Associate degree
  • Bachelor’s degree
  • Two years of successful experience in providing services under the supervision of a certified practitioner
  • Physical Requirements :

    The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Ability to support patient fitting / cast needs effectively and accurately.
  • Ability to walk, bend, stand, kneel, and reach constantly during a workday shift.
  • Visual acuity (near and distant) is sufficient to maintain accurate records, recognize people, and understand written direction.
  • Ability to speak and hear sufficiently to understand and give directions.
  • Fine motor skills adequate for scheduling and preparing patients, equipment, and supplies for treatment.
  • Work Environment :

    Operates in a professional office environment and routinely uses standard office equipment.

    Position Type / Expected Work Hours : ??

    This is a full-time salary position. Days and hours of work are Monday through Friday. Hours vary by location. Some work may be required on weekends or evenings.

  • Travel :

  • Local and satellite locations as needed.
  • Out-of-town and overnight travel may occasionally be required.
