Maximum Services, Inc. is a leading excavation company specializing in civil infrastructure construction. We are seeking a reliable and detail-oriented Office Assistant to join our team and support daily administrative operations.

Job Overview :

The Office Assistant will provide essential administrative support to ensure smooth office operations. This role involves logging trucking logs, filing paperwork, sorting and tracking invoices by job (time and materials), answering phones, billing customers bi-weekly, and assisting with general office tasks. The position primarily supports the office staff with day-to-day administrative needs.

Key Responsibilities :

• Track and log trucking logs accurately.
• Organize and file paperwork efficiently, including digital filing in Dropbox.
• Sort and maintain invoices, assigning them to jobs based on time and materials.
• Answer and direct phone calls in a professional manner, screen calls, and route messages appropriately.
• Prepare and process customer billing every two weeks.
• Provide administrative support to the Office Manager and other office staff.
• Maintain polite and professional communication in person, via phone, e-mail, and mail.
• Assist with scheduling, correspondence, and special projects as needed.
• Maintain front-office operations, including checking emails, voicemails, and mailboxes, and ordering office and cleaning supplies.
