Yellowstone Forever Executive Assistant
Yellowstone Forever (YF), the official nonprofit partner of Yellowstone National Park, seeks a highly organized, proactive, and discreet Executive Assistant to support the CEO. This role is pivotal in ensuring the CEO's effectiveness by managing communications, scheduling, and strategic coordination across the organization. The Executive Assistant serves as a support person to the board of directors and external stakeholders and must thrive in a mission-driven, fast-paced environment.
Executive Support
- Manage an active calendar of appointments, meetings, and travel.
- Coordinate complex itineraries and compile documents for travel-related engagements.
- Prepare confidential correspondence, reports, and presentations.
- Track and follow up on key deliverables and deadlines.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Follows up on contacts made by the President and CEO and supports the cultivation of ongoing relationships.
- Act as a gatekeeper and point of contact for internal and external inquiries.
- Creates the fiscal year budget for board meeting expenses and assists the President and CEO on other aspects of the administrative budget.
- Maintain discretion and confidentiality in all matters.
Strategic Coordination
Monitor and prioritize incoming issues and concerns addressed to the CEO.Research and draft responses or delegate appropriately.Keep the CEO informed of organizational developments and priorities.Support the CEO's leadership by anticipating needs and proactively addressing challenges.Board Support and Logistics
Coordinate and assist in planning and execution of board and executive committee meetings, prepare materials, and manage logistics.Draft and distribute board communications and meeting minutes.Facilitate communication with board members.Maintain board records and ensure timely follow-up on action items.Maintains discretion and confidentiality in relationships with all board members.Works with President and CEO, Board, and Committee Chairs on scheduling committee meetings prior to board meetings, creating agendas, delivering meeting materials, and recording meeting minutes.Works with appropriate leadership team members, governance committee liaison, and staff to keep an UpToDate board portal with a calendar of events and board-related materials for board members to access.Office Oversight
Coordinate with the operations team to ensure the Bozeman office is well-stocked, organized, and visitor ready.Coordinate with the operations team to order supplies and manage vendor relationships.Qualifications
Minimum 5 years of experience in executive support, preferably in nonprofit or mission-driven organizations.Exceptional written and verbal communication skills.Strong organizational and time management abilities.High emotional intelligence and professional discretion.Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer / client service and response.Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.Forward thinker, who actively seeks opportunities and proposes solutions.Proficiency in Microsoft Office Suite and virtual meeting platforms.Ability to work independently and collaboratively under pressure.Preferred Attributes
Passion for conservation and the mission of Yellowstone Forever.Experience supporting C-level executives and board relations.Familiarity with nonprofit governance and donor relations.Compensation
This is a full-time, exempt position, which will be based in Bozeman, MT. Travel between the offices and throughout the park may be required.
