GENERAL JOB DESCRIPTION

Responsible for interacting with Architectural Control Committee members, contractors, property owners, and employees to provide information and help pertinent to all aspects of exterior renovations and miscellaneous projects.

DUTIES AND RESPONSIBILITIES

• Work closely with contractors, home, and lot owners in receiving and reviewing all Architectural Control submittals for exterior renovations and miscellaneous projects to obtain all necessary information including working E 911 addressing for homeowners.
• Responsible for accepting applications and fees (if applicable), performing pre-approval and post completion inspections for conformity to Fairfield Glade Community Club policies, issuing violation fines, maintaining records of fines, and receipt of payment of fines.
• Coordinate the lot combination process including the application receipt approval process and acceptance of the initial fees.
• Assist, in person or by phone, property owners with questions or complaints.
• Actively participates in the Architectural Control Committee meetings held on the 1st and 3rd Tuesdays of the month January through December
• Responsible for assisting in compiling agenda items for Architectural Control Committee meetings and for recording meeting minutes, and the typing / distribution meeting minutes.
• Responsible for notifying property owners and contractors of approvals and / or denials of exterior renovations and miscellaneous projects after each meeting.
• Keeps updated information pertaining to renovation projects and violations through the effective use of computer skills and software.
• Provides input for reports on various Architectural Control activities and data, etc.
• Mail out letters of approval for exterior renovations and miscellaneous projects and inspections.
• Performs job site inspections before a submittal is approved and after completion.
• Update the miscellaneous projects list.
• Assist in maintaining the computerized records retention system. Also maintains an effective filing system for all Architectural Control activities.
• Responsible for a high level of effective communication / knowledge sharing.
• Maintains the Architectural Control New Home Requirements, Manufactured Homes Requirements, and Exterior Addition Requirements policies and designs forms.
• Assists the Architectural Control Manager with operation of the Architectural Control Department.
• Other duties as assigned.
