Sponsored Programs Administrator

The Office of Vice President for Research, Innovation and Economic Development at UL Lafayette provides post award management and financial oversight, while ensuring compliance with federal regulations and adherence to state and university policies, for all externally funded research and sponsored activities. Position Summary This position will perform a variety of post award activities in the central office. The position will be hired as Sponsored Programs Administrator. Under general supervision of the Manager, Sponsored Programs Administrator, the Sponsored Programs Administrator (SPA) will provide professional-level administrative and fiscal support within a post-award sponsored project accounting environment. The SPA will be responsible for setting up all awards and award budgets, monitor and administer extramural contracts, grants, and cooperative agreements from a wide variety of funding sources and all university generated research funds and cost share commitments. The SPA will provide input in developing processes for the department and provide innovative solutions to diverse types of problems and situations by applying university, state, federal, and private sector policies and procedures. The SPA will also ensure that costs to a research fund are reasonable, allowable and allocable under all cost principles.

Responsibilities :

  • Provide post-award support to faculty and administrative staff engaged in research and sponsored projects.
  • Review and negotiate acceptable grant terms that are consistent with Federal and State law, University policy, and that are consistent with Sponsor's requirements.
  • Responsible for the review and negotiation of contracts and subcontracts, no cost extensions, budget revisions, and contract amendments for assigned departments and centers.
  • Maintain all related post-award records, including documents and communications, which support recorded financial activity and adjustments.
  • Serve as the University liaison with funding agencies to administer externally funded awards.
  • Serve as a liaison between Principal Investigators and Sponsors.
  • Advise faculty / PI on budget adjustments and revisions necessary to meet the Sponsor's requirements.
  • Manage budget, reporting and compliance timelines through the lifecycle of the grant or contract.
  • Review and approve expenditures for compliance and adherence to sponsor guidelines.
  • Monitors budget queries, performs approvals, and grant management in the ULL award management system.
  • Communicate with Pre-Award office to ensure accurate proposal information is maintained on file.
  • Prepare and / or submit various reports required by federal and sponsoring agencies.
  • Monitor burn rates, deficits, and termination dates to ensure proper fiscal management of awards.
  • Manage all aspects of Subawards, including drafting / negotiating contracts, invoice approval, and closeout.
  • Participate in the development of campus communications, training, and outreach programs.
  • Maintain internal tracking of all research activities and produce necessary reports as needed.
  • Complete other duties as assigned.

  • Bachelor's degree in accounting, Finance, Business Administration, or a related field.

  • Strong organizational skills with the ability to prioritize a heavy workload.
  • Ability to use discretion and good judgment when handling confidential information.
  • Excellent communication skills.
  • Ability to analyze data and formulate conclusions.
  • Proficient use of computers; requires solid working knowledge of MS Office Suite.
  • Ability to work with diverse groups of people.
