Peak Behavioral Health is seeking a Bilingual Referral Coordinator to join our team at our Oklahoma City location! We are looking for someone who is positive, personable, and detail oriented.
Peak Behavioral Health is a multidisciplinary clinic in Oklahoma City, Oklahoma that includes Psychology, Occupational Therapy and ABA. Youll be part of a collaborative team that provides a unified approach in helping children with autism and other disabilities.

The position :
- Provide the initial warm welcome to all patients and guests
- Provide excellent customer service by phone, in person and electronically
- Receive incoming phone calls and referrals
- Process all Peak referrals :
Call referrals within 48 business hours of receipt, when possible
Obtain necessary demographic and service needs informationLog referrals on the referral trackerAdd referrals to correct waitlists, based on service needsReturn non-responsive referrals back to the referring physicianDevelop and maintain close relationships with Referring Providers to increase referrals for Peaks current openingsSchedule testing appointments from the wait list, with the ultimate goal of testing schedules filled 3-6 months in advanceScan and upload documents for electronic file storageCheck Soonercare eligibility for all Peak clients on the 1st and 15th of every monthAs part of the front office staff, assist with :Maintaining full schedules for all Providers at assigned location; including handling schedule changes, call ins and no show appointments
Announcing incoming patients to providers at check-in and mark them accordingly in systemCollecting and arranging payments in person and / or via Clover systemWork closely with Intake and Billing Departments for continuity of servicesReceiving deliveries and distributing mail to providersAssisting colleagues with administrative tasks (e.g., copying, mailing, ordering, etc.)Monitor appearance of all common areas, including waiting room, bathrooms and kitchenPeak understands that the day-to-day needs of the front office are the primary focus. When necessary, referrals may take more than 48 business hours to process; but the Referral Coordinator should process them as soon as is reasonably possible.Qualifications :
1+ years of experience as a receptionist (medical receptionist experience preferred)Bilingual :English and Spanish
Fluent in both written and verbal communicationExcellent communication skillsMust have great problem-solving skillsMust be highly organized and have a great eye for detailsProficient in using technologyExperience with Microsoft Word, Office and Google Drive required
Experience with Microsoft Word, Office and Google Drive requiredPassionate about helping children and their familiesExperience working with Medicaid, private health insurance, and Electronic Medical Record (EMR) software / systems preferredAvailable to work 40 hours per week, Monday through Friday.While performing the duties of this job, the Referral Coordinator is regularly required to speak and hear sufficiently to communicate effectively by phone or in person at normal volumes. The Referral Coordinators vision must be adequate to read correspondence, computer screens, forms, etc. The position requires good manual dexterity. The Referral Coordinator is frequently required to sit and reach with hands and arms; regularly required to stand, walk, kneel and bend; and occasionally required to lift and move up to 50 pounds. The position requires the ability to operate a computer.
