Ph.D. Program Coordinator, Executive Education
The College of Business at Florida Atlantic University is seeking a Ph.D. Program Coordinator, Executive Education - Boca Raton, FL.
The FAU College of Business is one of the largest AACSB-accredited colleges of business in the United States with more than 8,000 students. The college has seven departments and an impressive offering of degree programs at both the undergraduate and graduate levels (including Ph.D.) as well as many online, executive, and certificate programs.
The Ph.D. Program Coordinator plays a vital role in advancing student success and academic excellence within the doctoral program. This position combines proactive advising, strategic program coordination, and collaborative engagement with faculty, staff, and students. In addition to supporting students throughout their academic journey, the coordinator also oversees the program's social media presencehelping to elevate visibility, celebrate achievements, and engage both prospective and current students. The Ph.D. Program Coordinator ensures that doctoral students receive the guidance, resources, and support needed to successfully progress through their academic journey and achieve their goals.
Summary of Responsibilities :
Recruitment / Admissions
Applicant Communication & CRM Management : Maintain communications with applicants to both the Executive and Traditional Ph.D. programs, with primary focus on the Traditional Ph.D. applicants.
Application Support & Inquiry Tracking : Support the application process by closely monitoring the applications and inquiries within the CRM platform and providing communications and guidance to applicants and prospective applicants.
International Admissions Coordination : Monitor, support, and facilitate the international student admissions process; monitoring and supporting the obtaining of official documents, including transcripts, international transcript evaluations, English proficiency, and GMAT / GRE exam reports; working with ISS to generate I-20 documents; and monitoring embassy visa appointments.
GTA Onboarding & Employment Processing : Oversee the obtaining of GTA assignments from Ph.D. Faculty Coordinators for the onboarding of incoming Traditional Ph.D. students and providing such information to the Dean's Office for the initiation of student employment contracts.
Cross-Functional Collaboration : Collaborate with and / or deliver projects / tasks as requested by the Ph.D. Faculty Director, Associate Dean or Assistant Dean.
International Transcript Evaluation Training : Train on international transcript evaluation with the goal of providing additional support to the ISS Office in conducting such evaluations.
Advising
Advise and Support Students : Maintain communication with enrolled Executive and Traditional Ph.D. students, advise on curriculum and class schedules, reinforce degree progress and academic success, and resolve issues as they arise or provide recommendations.
Coordinate Student Services and Academic Records : Track student progress and registration (including Executive Education programs), organize and update documentation through the CRM system, and liaise with departments such as ISS, Registrar, Financial Aid, Controller's Office, and Immunizations to ensure accurate student records.
Facilitate GTA Assignments and Student Employment : Oversee collection of GTA and teaching assignments from faculty coordinators for current students and submit to the Dean's Office to initiate student employment contracts.
Plan Events and Collaborate Across Teams : Co-lead planning and execution of orientations, open houses, student gatherings, and faculty networking events; serve as liaison for student needs with Executive Education teams (IT, Operations, Finance); and foster collaboration and best practices across the advising team.
Support Program Operations and Special Projects : Manage ad hoc projects (e.g., Exec Ph.D. travel planning, branded inventory distribution, email list maintenance), participate in events like graduation banquets, assist with projects from the Ph.D. Faculty Director or Deans and provide general office support as needed.
Social Media and Website Responsibilities
Supervise Social Media Activities : Supervise, guide, and support Social Media GA to enhance the visibility and engagement of our Ph.D. programs across social media platforms, with emphasis on LinkedIn and Instagram.
Collaborate on Content Creation : Collaborate on content creation (event posts, graduation, alumni news, student spotlight, research publications, etc.)
Monitor Performance and Analytics : Develop social media performance KPI's and oversee analytics & reporting of data.
Coordinate Website Updates : Collaborate with Marketing & Communications teams on updates to both Ph.D. websites to maximize messaging and imaging for prospective students.
Other job-related duties as assigned.
Minimum Qualifications :
Master's degree from an accredited institution in an appropriate area of specialization and 3 years of advising or appropriate experience required. Required Skills and Qualifications : Knowledge of Banner, Workday, and Adobe. High degree of accuracy and attention to detail. Customer Service orientation and negotiation skills. Skilled at public speaking and delivering effective presentations. Proficiency in English and in MS Office Suite. Data entry skills.
Salary : $55,000 - $65,000 per year.

Work Days and Hours : Monday - Friday 8 : 30am - 5 : 30pm; varied work schedule that may include weeknights and weekends.
