Administrative Support - Receptionist And Mail / File Management

Serve as the front-desk receptionist and provide mail and file management support for the client. Handle communications, scheduling, visitor reception, distribution of mail, and general office support while ensuring excellent customer service.

Key Responsibilities

  • Serve as the primary point of contact for incoming calls, emails, and visitors; provide professional customer service.
  • Collect, sort, and distribute incoming mail; maintain records of receipt, mailing dates, and other required information.
  • Ensure appropriate mailing / shipping of packages, letters, and materials.
  • Manage calendars; schedule meetings and appointments; greet high-level guests and visitors.
  • Create and distribute correspondence, reports, and other documents; support data entry and filing.
  • Support upkeep and setup of conference and training rooms.
  • Manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Maintain an organized and professional reception area.
  • Operate office software and equipment proficiently.
  • Support physical movement of files and / or file boxes as needed.

Required Qualifications

  • 1-3 years of experience in a professional office environment as a support assistant, receptionist, or equivalent.
  • Demonstrated experience handling calls, emails, and mail; strong interpersonal skills.
  • Experience managing calendars and scheduling meetings and appointments.
  • Experience creating / distributing correspondence and documents; strong attention to detail.
  • Experience providing general office support, data entry, filing, and customer service.
  • Experience with setup and upkeep of conference and training rooms.
  • Ability to manage the receptionist area and interact effectively with diverse stakeholders.
  • Effective written and verbal communication skills.
  • Proficiency with office software and equipment.
  • Physical ability to move large numbers of files and / or file boxes.
  • High school diploma required; higher education preferred.
