Job Summary
We are looking for a reliable and organized Office Assistant to support our administrative team and maintain an efficient office environment. The ideal candidate will have excellent organizational skills, effective communication abilities, and a proactive attitude. If you are detail-oriented, efficient, and capable of multitasking, we want to hear from you.
Responsibilities
Answer and direct phone calls courteously and professionally.Manage incoming and outgoing correspondence, including letters, packages, and emails.Organize and maintain compliance material reports files (Submittals, SDS, Maintenance & Warranty, Samples).Manage office supplies to ensure continuous availability, proactively restocking as necessary.Assist with data entry (specifically entering invoices into QuickBooks).Invoice approval process, and other clerical tasks as required to support the team's workload.Maintain office organization in common areas, contributing to a pleasant and productive workspace for everyone.Collaborate effectively with team members to support overall business operations, sharing information and assisting where needed to achieve common goals.Qualifications
Required :
Bilingual (Spanish & English)High school diploma / GEDPrevious experience as an Administrative Assistant or in a similar positionExcellent computer skills and knowledge of Microsoft officePreferred :
Associates degree or administrative training is preferredFamiliarity with QuickBooksHighly organized with excellent time management skills and the ability to multitask.Familiarity with Flooring Materials is a plus.
