BayMark Health Services is looking for a collaborative; highly organized professional Assistant Project Coordinator to work directly with the Group President and other members of the Division Leadership Team to perform a number of administrative duties.
Essential Duties & Responsibilities :
- This position will manage the OTP Administrative Assistant and will be responsible for leadership of the employee
- Perform general clerical duties to include, but not limited to :
Photocopying
ScanningFaxingMailingFilingPrepare reports, spreadsheets, create charts / graphs and assist with website maintenance.Meet tight deadlines from multiple management staff.Maintain hard copy and electronic filing system.Setup and coordinate meetings and conferences.Support staff in project based work.Support organizational and departmental philosophies, goals, and objectives and through own behavior; lead and motivate others to do so.Regular attendance is to be maintained.Adherence to a code of conduct conducive with BayMark Services policy is expected.Interact with all staff in a positive and motivational fashion supporting the Company’s mission.Provide support to OTP Sr. Regional Vice Presidents as requested.Coordinate and compile the monthly operations planning book.Create, review and distribute weekly, monthly, quarterly and annual metric reports.Other duties, as assigned.Qualifications :
Minimum age requirement of 18High school diploma or equivalent with at least 3 years prior experience in an office setting.Excellent customer service skills and professional public presentation skills, including telephone etiquette.Strong computer PC skills. Microsoft Word, PowerPoint and Advanced Excel (macros, vlooksups, array formulas, applying custom formats and layouts)Microsoft Office Certification preferred.Ability to maintain business and clinical files in a systematic and orderly fashionSatisfactory references from employers and / or professional peers.Satisfactory criminal background check.Self-directed with the ability to work with little supervision.Flexible and cooperative in fulfilling all obligations.Ability to understand and follow oral and written directions, establish and maintain effective working relationships with patients, program management, medical staff, and senior management staff.Ability to maintain routine records and communicate effectively, both orally and in writing.Ability to work with a diverse population and exhibit excellent customer service skills.Benefits :
