Merritt College

Job Description Summary

Under general supervision of the Vice President of Student Services or Director of Hispanic Serving Institution (HSI), the HSI Coordinator is responsible for the implementation of their assigned activities within the HSI Grant. The individual leads the coordination of grant activities which may include high school outreach, peer mentorship programs, student onboarding, community partnerships, campus visits, university tours, student success workshops, and other grant-specific retention campaigns. The individual also works collaboratively to provide support for the HSI grant evaluation process.

WORK SCHEDULE

This is normally a full-time position with a work schedule of five days and 40 hours / week. Duties are performed 12 months a year. May be required to work some evenings and Saturdays during peak periods, such as registration, audits, fiscal year-end, graduation, etc.

(Positions assigned to this classification are professional-level positions that support and are funded by a categorically funded program / project. Continuation of the position is contingent upon refunding of the program / project.)

  • Coordinates the assigned program activities with other departments or work units to achieve maximum fulfillment of goals and objectives and ensures optimum delivery of program / activity services.
  • Initiates and coordinates partnerships that promote college access to high schools, community-based organizations, and other educational institutions.
  • Supports with the design and development of student retention programming, including the coordination and facilitation of workshops, informational sessions, and / or career panels that align with assigned project activities.
  • Maintains complex records of assigned grant activities including meeting notes, survey and evaluation data, schedules, and other information requested by partner institutions or the public.
  • Supports in developing monthly and quarterly reports related to assigned grant activities to maintain compliance with internal and external record-keeping, evaluation, and reporting requirements.
  • Evaluates assigned activities and develops recommendations to improve program / performance efficiency and effectiveness that promotes student success.
  • Recruits, interviews, hires, trains, supervises, and evaluates student employees, including submitting employment documents (eForms), student evaluations, and coordinating / preparing work schedules.
  • Supports internal and external evaluation and reporting functions, including the development of survey and evaluation data.
  • Supports with monitoring and tracking of program budget; monitors and analyzes the budget; prepares reports, and records budgetary activities for program management purposes as needed.
  • Acts as a resource and liaison for the program by responding to information and resource requests from other educational institutions, community partners, or the public.
  • Provides support to the project team as needed; designs forms and procedures to assist in better project efficiency and implementation of grant deliverables.
  • Performs other related duties as required.

Minimum Qualifications

  • Possession of a Bachelor's Degree from an accredited college or university and four (4) years of experience involving proposal development, fundraising, and grant performance monitoring, including experience developing concept-driven curricula incorporating applied academics; or an equivalent combination of education and qualifying experience that could likely provide the desired knowledge and abilities.
  • Knowledge of, and proficiency in, the operation and use of personal computers utilizing word processing, spreadsheet and database management software programs (e.g., MS Office Suite, Word, Excel, Publisher, Outlook and PowerPoint) and the Internet browser, websites and E-mail.
  • Ability to manage complex multi-tiered projects in a cooperative environment, manage budgets, develop policies and procedures, supervise staff, and work with consultants.
  • Ability to review, research, and assess complex analytical information and project future needs, plan strategies, and formulate actions.
  • Understanding of, sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of Peralta Colleges' students, faculty, staff and community.
  • Desirable Qualifications

    Knowledge of :

    o Hispanic Serving Institutions Grants and / or the California Community College system.

    o Practices and research surrounding strategies and priorities that promote Latino, Latina and Latinx student success and completion.

    o Program evaluation techniques and methodology.

    o Laws, regulations, and guidelines with respect for grant / budget regulations.

    o Current development, standards, methods, and trends, that will demonstrate professional competency in the field of activity.

    Ability :

    o Bilingual (English and Spanish).

    o Occasional local travel to attend events at school and community partner sites.

    o Occasional local / non-local travel to attend program-related professional development conferences and trainings.

    o Implement a working framework centered on diversity, inclusion, racial equity and access.

    o Prepare and maintain accurate records and reports.

    o Communicate effectively in the oral and written form, including public speaking in both English and Spanish.

    o Demonstrate other professional knowledge that may be required to successfully perform in the field of activity.

    CONDITIONS OF EMPLOYMENT

    Employees must satisfy all pre-employment requirements to work for the District which include, but are not limited to, the following items :

    REQUIRED FOR ALL EMPLOYEES

    Tuberculosis Examination : Prior to employment, the successful candidate will be required to submit evidence (either skin test or X-ray report) of being free of tuberculosis within the past sixty (60) days. The TB test is a condition of employment and any expense must be borne by the successful candidate.

    Fingerprinting Requirement : As a condition of employment, all employees working for community colleges in the State of California are required to be fingerprinted within the first ten (10) working days of the date of employment pursuant to Education Code Section 88024.

    Immigration Requirement : According to the Immigration Reform and Control Act, the Peralta Community College District is required to verify that all new employees are legally authorized to work in the United States.

    All new employees are required to complete and sign a verification form and provide documentation attesting that he / she is legally authorized to work in the United States.

    District Policy : A Social Security Card will be required following selection and prior to completion of the hiring process. The employment process cannot be completed without a copy of the Social Security Card on file in the Office of Human Resources.

    Medical Examination : Under state regulations and as a condition of employment, certain positions may require a medical examination prior to employment. Expenses incurred will be borne by the employee.
