Job Summary
Under general direction of the Clinic Operations Manager or Director, the Assistant Clinic Operations Manager supports the oversight of day-to-day clinical operations. This role bridges clinical care and operational management by providing leadership, oversight, and coordination to ensure high quality patient services, efficient workflows, regulatory compliance, and staff performance. The incumbent must be a R eg istered Nurse with an active Wyoming license and will collaborate with clinical, administrative, and leadership teams to meet operational goals.
Supervises
May supervise non-licensed staff (e.g. medical assistants, clerical, scheduling staff)
Collaborates with other nursing leaders or charge nurses
Coordinates with ancillary service leaders (lab, imaging, pharmacy)
Acts with delegated authority in absence of Clinic Manager
Supervisory Responsibilities
Participates in hiring, onboarding, training, performance evaluation, coaching, and disciplinary action for subordinate staff as delegated
Provides mentoring and professional development opportunities
Sets performance goals, monitors metrics, and gives feedback
Ensures staff complies with policies, procedures, and expected standards of care
Duties / Responsibilities

Assist in planning, organizing, and directing clinical operations to ensure efficient and effective patient care delivery
Support development, implementation, and enforcement of clinic policies, procedures, and protocols
Monitor daily operations including patient flow, scheduling, staffing levels, resource allocation, and supply management
Collaborate with physicians, nurse practitioners, and other clinicians to streamline workflows and reduce bottlenecks
Analyze operational metrics (e.g. wait times, no-show rates, throughput, patient satisfaction) and propose improvements
Ensure regulatory compliance (e.g. CMS, HIPAA, OSHA, state health regulations) and prepare for audits or inspections
Oversee quality improvement initiatives, process redesign, and workflow optimization
Participate in budget preparation, cost control, vendor contract review, and expense monitoring
Act as liaison between clinical staff and leadership, communicating operational updates, challenges, and successes
Lead or support special projects (e.g. expansion of services, EMR implementation, new clinic openings)
Serve as acting operations lead (in Manager’s absence)
Address patient complaints or escalations in conjunction with leadership
Maintain competencies and continuing education relevant to both clinical practice and management
Ensure that staffing schedules, coverage, and leave requests balance operational needs with staff well-being
Education / Certifications / Licenses
Bachelor of Science in Nursing (BSN) preferred; Associate Degree in Nursing (ADN) acceptable with significant experience
Active, unencumbered Registered Nurse (RN) license in the State of Wyoming
Basic Life Support (BLS) certification; Advanced Life Support (ACLS, PALS, etc.), as applicable
(Optional / preferred) certifications in leadership, healthcare management, quality, or clinical specialty
Experience
Minimum of 3–5 years of clinical nursing experience , ideally in outpatient or ambulatory care settings
At least 1–2 years of experience in a leadership, supervisory, or charge nurse role
Experience with clinic operations, quality improvement, workflow management, and performance metrics
Experience working with electronic health records (EHR / EMR) and other clinical systems
Demonstrated ability to analyze data, manage projects, and lead change
Skills / Abilities
Strong leadership, communication, and interpersonal skills
Ability to motivate, mentor, and develop staff
Excellent problem-solving, critical thinking, and decision-making capabilities
Proficiency with data analytics, reporting, and performance dashboards
Familiarity with healthcare regulations, compliance, and quality standards
Strong organizational and time management skills, with ability to juggle competing priorities
Ability to adapt to evolving environments and manage change
Collaborative mindset with ability to interact across disciplines and levels
