Administrative Assistant (Real Estate & Investment Office)

Location : Irvine, California (On-site, Full-time)

Compensation : Competitive; commensurate with experience

Employment Type : Non-Exempt

About the Opportunity

A privately held real estate investment and family office headquartered in Orange County is seeking a professional and detail-oriented Administrative Assistant to join its growing team. The ideal candidate will provide broad administrative and operational support to the firm’s leadership — including asset management, accounting, operations, and property management teams — while maintaining confidentiality, efficiency, and strong organizational standards.

What You’ll Do

  • Provide administrative and project support to the Operations, Accounting, and Asset Management teams.
  • Manage calendars, schedule meetings, and prepare supporting materials for internal and external discussions.
  • Assist with document organization, electronic filing, and general office coordination.
  • Support accounting and reporting functions, including invoice processing, expense tracking, and vendor coordination.
  • Help prepare correspondence, presentations, and confidential materials for leadership review.
  • Serve as a point of contact between internal departments, external partners, and property managers.
  • Assist with ongoing projects, new initiatives, and operational improvements as assigned.

What You’ll Bring

  • 3+ years of administrative experience, preferably in real estate, investment, or professional services.
  • Exceptional organization skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite and cloud-based tools (Google Workspace, DocuSign, or similar).
  • Ability to handle sensitive information with discretion and professionalism.
  • A proactive mindset and ability to manage multiple priorities with minimal supervision.

  • Position is on-site in Irvine, California.
