Kitting & Logistics Operations Supervisor (Hands‑On)

Location : Irvine, CA (on‑site) | Full‑time

Compensation : $55,000–$65,000

About IHD Labs (DaaS Division)

IHD’s Diagnostics‑as‑a‑Service (DaaS) program supports at‑home self‑collection testing for white‑label partners. Our Kitting & Logistics team oversees assembly of at‑home self‑collection test kits and supply‑chain fulfillment (shipping / tracking) for both bulk order partner programs (B2B2C / B2B2B2C) and direct‑to‑consumer shipments.

Role overview

You’ll run a small, high‑impact operation (3–5 associates) and split your day between floor leadership and hands‑on work. You’ll also own daily order planning in ShipStation, label / IFU printing, basic purchasing tied to cycle counts, exception outreach to partners, and monthly kit billing prep—keeping quality, safety, and throughput tight.

What you’ll do

  • Plan and run the day

Review ShipStation orders each morning; set the build / ship plan, assign stations, and clear roadblocks.

  • Work on the line (pick / kit / QC / pack / ship) to hit daily targets and cover spikes.
  • Kitting, labeling, and documentation
  • Build convenience kits (components, IFUs, return mailers) per program BOM / version.

  • Print and apply registration codes, SKU labels, custom / partner labels (e.g., patient / source, bulk‑fulfillment labels), and A4 IFUs.
  • Generate lot numbers and registration codes; maintain batch records and kit counts by SKU.
  • Perform QC on every assembly batch; document results and corrective actions.
  • Fulfillment and exception handling
  • Ship bulk (carton / pallet) and DTC parcels; create carrier labels and confirm address data.

  • Monitor exceptions (e.g., invalid addresses, returns); conduct timely outreach to partners and coordinate internal escalation (e.g., Regulatory / QA or Client Success) as needed.
  • Support bulk kit requests, including bulk label generation and special pack‑outs.
  • Inventory, receiving, and purchasing
  • Receive inventory with paperwork; affix approval stickers and record lots / expirations.

  • Own inventory cycle counts; reconcile variances and keep storage areas audit‑ready (5S).
  • Use cycle‑count data to place timely purchase orders and manage min / max levels; communicate vendor holds and lead‑time risks with clear mitigation options.
  • Systems and workflow improvement
  • Troubleshoot and optimize ShipStation workflows; liaise with vendor support to unlock simpler, faster steps for kitting and shipping.

  • Keep label printers, scanners, scales, heat sealers, and tape machines in working order; coordinate service.
  • Client and cross‑functional coordination
  • Respond to partner shipping inquiries; provide order status and resolution ETAs.

  • Keep assembly records “update‑ready” for new partner onboarding or program changes.
  • Maintain a simple forecasting workbook / “assembly calculator” to translate monthly partner volumes into weekly / daily build plans.
  • Support billing and reconciliation
  • Track kits built / shipped by program; reconcile counts against logs and carrier data.

  • Prepare monthly kit fulfillment reports and hand off clean, review‑ready numbers to Finance for billing.
  • Team leadership
  • Schedule, train, and coach 3–5 associates; maintain safety, time / attendance, and cross‑training.

  • Reinforce standard work to reduce errors and single‑point dependencies.
  • What you bring

  • 2+ years in hands‑on fulfillment, kitting, light manufacturing, or assembly operations.
  • 1–2 years leading a small team or shift (lead / senior / assistant supervisor).
  • Working knowledge of ShipStation (or similar shipping platform) and barcode / label printing.
  • Comfort with Google Sheets / Excel for counts, simple dashboards, and reconciliations (filters, pivots, lookups).
  • Experience with inventory receiving, cycle counting, PO creation, and vendor communication.
  • Clear documentation habits (lots, versions, labels, approvals) and strong QC attention to detail.
  • Ability to stand most of the day and lift up to 40–50 lbs safely.
  • Nice‑to‑have : diagnostics / healthcare kitting; SOPs, GDP, 5S / Lean; UPS / FedEx / USPS portals; bilingual English / Spanish; basic familiarity with PHI / PII handling (HIPAA training provided).
  • How we’ll measure success

  • On‑time ship rate (bulk and DTC) ≥ 98%
  • Order accuracy ≥ 99.5% (items, labels, inserts)
  • Inventory accuracy ≥ 98% with clean cycle counts
  • Address / exception resolution within 1 business day; re‑ship / defect rate ≤ 0.5%
  • Forecast adherence (weekly builds vs. plan) within ±10% absent supply constraints
  • Month‑end kit billing package delivered complete and on time to Finance
  • Schedule

    Monday–Friday standard hours with occasional overtime during launches or seasonal peaks.

    Reporting line

    Reports to the Sr. Manager, Kitting & Logistics Operations.

    Work environment

    Clean kitting / fulfillment area (not a wet lab). Follows SOPs, GDP, 5S, and safe handling of labeled kit materials and PII / PHI.
