Job Title : Associate Director of Facilities

Department : Buildings & Grounds

Reports To : Senior Director of Facilities

FLSA Status : Exempt (full-time)

Work schedule : Variable, including weekends and evenings.

Job Summary : The Associate Director of Facilities supports the operations, maintenance, and upkeep of the Columbus Museum of Art’s buildings and grounds across multiple properties. This position ensures facilities are safe, functional, and well-maintained, while assisting with project coordination, vendor management, and sustainability initiatives. Working closely with museum staff, this role contributes to providing a welcoming environment for visitors, employees, and collections.

Duties and Responsibilities :

Facilities Operations and Maintenance

  • Oversee daily operation and maintenance of museum properties, including HVAC, plumbing, electrical, elevators, and building systems.
  • Coordinate and implement preventive maintenance schedules and work orders.
  • Respond promptly to facility-related issues, ensuring timely resolution.
  • Support preparation of museum spaces for exhibitions, events, and programs.

Facilities Management and Oversight

  • Supervise maintenance team; assign tasks, monitor progress, and ensure quality standards are met.
  • Oversee landscaping, snow removal, seasonal tasks, cleanliness, and minor repairs.
  • Ensure building and grounds meet museum standards for aesthetics, safety, and environmental control in coordination with the Facilities Support team.

    • Vendor and Project Support

  • Assist in managing vendor relationships, service contracts, and supply procurement.
  • Support facility renovation and construction projects, including scheduling, contractor oversight, and reporting.
  • Assist in developing scopes of work for facility projects and coordinate RFP processes.

    • Compliance & Risk Management

  • Assist in implementing environmental sustainability and building performance initiatives.
  • Support compliance with safety codes, environmental standards, and accessibility regulations.
  • Participate in safety drills, audits, and emergency response planning with the Senior Director of Facilities and Director of Safety and Security.

    • Staff Management

  • Supervise, mentor, and train maintenance staff.
  • Conduct staff evaluations and promote a culture of professionalism, safety, collaboration, accountability, and customer service.

    • Administrative Support

  • Assist in preparing facilities budgets and monitoring expenses.
  • Maintain accurate records for maintenance, inspections, and compliance reporting.
  • Support grant reporting and capital improvement documentation.

    • Qualifications :

  • Associate or bachelor’s degree in Facilities Management, Building Systems, Construction, or related field preferred.
  • An equivalent combination of education, training, and experience will be considered.
  • Minimum of 5 years’ progressively responsible experience in facilities operations or building maintenance; nonprofit, cultural, or multi-site experience preferred.
  • Supervisory experience preferred.

  • Accurate and timely completion of assigned tasks.
  • Professional attitude and appearance.

    • Uniform Requirements : This position does require maintaining a dress code and a clean, professional personal appearance.

    Physical Demands : To successfully perform the essential functions of this position, the staff member must be able to stand, walk, sit, use hands to touch, handle, or feel, raise hands and arms in reaching motion, talk, and hear. May occasionally need to climb or balance, stoop, kneel, crouch or crawl, taste or smell. Staff members may frequently have to lift 25-50 lbs. Close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus are necessary.     Work Environment : The work environment is normally quiet with occasional moderate noise levels. Work may be required outside for extended periods in varying weather conditions (hot, cold, rain, ice & snow). The staff member may occasionally operate heavy equipment, creating exposure to vibration from a shaking object or surface. He / she will occasionally work in high, precarious places or near moving mechanical parts. This position requires exposure to possible electrical shock due to high voltage equipment or circuits. The staff member may have occasional exposure to toxic or caustic chemicals, fumes or airborne particles.
