Position Overview
We are seeking an experienced Office Administrator / Executive Assistant to manage daily operations and provide high-level administrative support. This role requires exceptional time management skills, strong organizational abilities, and proficiency in modern office technologies. Key Responsibilities
Calendar & Time Management :
- Manage executive schedules (including Katie's calendar – President / Owner).
- Coordinate meetings via Outlook, Teams, and Zoom.
- Ensure timely updates and reminders for all appointments.
Administrative & Technical Support :
Utilize Microsoft 365 tools for scheduling and documentation.Perform QuickBooks data entry for payroll (no payouts).Answer and manage phone calls professionally.Prepare presentations in PowerPoint and manage social media tasks.Program and set up mobile devices as needed.Operational Duties :
Pick up and deliver supplies using company vehicle.Read and interpret contracts accurately.Assist with project management tasks.Maintain confidentiality and professionalism at all times.Requirements
Proven expertise in time management and scheduling.Proficiency in Microsoft Outlook , Teams, Zoom, and M365 suite.Familiarity with QuickBooks (data entry for payroll).Valid driver's license ; ability to travelStrong communication skills; comfortable answering phones.Technologically inclined with ability to learn new devices quickly.Ability to work independently and handle sensitive situations professionally.Ability to pass background check + drug screeningPreferred Qualifications
Experience working with police departments or in construction environments.Background in project management and contract review.Social media management experience.
