Receptionist
We are seeking a friendly, highly organized, and professional Receptionist to serve as the first point of contact for our office. This role is vital in creating a welcoming and positive environment for clients, attorneys, staff, and visitors, while providing comprehensive administrative and operational support.
Role
As the front-facing representative of the office, you will coordinate and support a wide range of services, including concierge assistance, conference and meeting room management, event coordination, catering, visitor office set-up, lounge supply restocking, furniture and plant management, spatial planning, and kitchen facilities management. You will play a key role in ensuring smooth day-to-day office operations and a high-quality experience for all visitors.
To excel in this role, you should have a pleasant and professional demeanor, the ability to manage multiple tasks under pressure, and strong problem-solving skills. You will handle emergencies efficiently and support office operations in alignment with the firm’s values.
Key
Greet visitors, clients, internal attorneys, and staff warmly and professionally.
Add guests and visiting attorneys to the building security system.
Answer and manage multi-line phones with professionalism.
Reserve conference rooms and visiting attorney offices using specialized software.
Maintain a clean and organized reception area.
Provide parking validations and track visitor access cards.
Assist with conference room setup, furniture reset, temporary equipment delivery, and event signage.
Support guests with guest Wi-Fi access.
Submit maintenance work orders and coordinate with office management on facilities issues.
Complete special projects as assigned by office management.
Respond promptly to requests, inquiries, and complaints with accurate information.
Utilize on-site Xerox resources for copying needs.
Follow all security and emergency procedures, responding calmly and efficiently in emergency situations.
