Salary and Benefits

Salary Range : $5,540.00 per month to $7,893.00 permonth. PLEASE NOTE : The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,540.00 per month to $6,716.00 permonth.

About the Position

The Academic Advisor plays a vital role in furthering Cal State East Bay's strategic goals, vision, mission, as well as with CSU-wide goals and initiatives. These outcomes are accomplished by delivering consistent, sophisticated and comprehensive academic advising services to students with majors and minors within the College of Science. This position provides students with accurate, timely advising and evaluation of coursework as applicable to the completion of their major, general education, and university graduation requirements. This position will also assist students in pursuing their educational and career goals through various steps such as career assessments, graduate school research, connecting with faculty advisors, and career services, etc. The advisor autonomously addresses and resolves student issues with evidence-based strategies and maintains student records to ensure they meet Title 5, CSU, and University degree requirements. They assist with academic petitions, guide degree progression, and work collaboratively with academic departments, the registrar, and other campus offices to tackle a variety of student challenges. Additionally, this role involves active participation in the development and execution of policies and strategic planning in the advising sphere, all aimed at promoting the success, persistence, and timely graduation of students within their specific college or department.

This position is a team member of the College of Science's (CSCI) Student Service Center and will work closely with the coordinator of the CSCI student service center in training new colleagues (SSP advisors), facilitating transfer orientation, and facilitating group advising / workshops, and supporting new freshman and transfer students and may visit first-year classes for such purposes.

Advising at the Concord Center or representation at events held at other institutions may at times be required.

Responsibilities

Academic Advising

  • The duties described below will be carried out in alignment with the academic department practices and some may require review and sign-off by departmental faculty advisors.
  • Provide in-depth academic advising to undergraduate students, with a focus on assigned caseload, covering general education, graduation requirements, college-based policies, and related procedures.
  • Document appointments and interactions with appropriate notes in University designated systems.
  • Lead initiatives for the development of academic plans and strategies tailored to individual student needs.
  • Verify accuracy of academic records, such as transcripts or test credits. Determine need for equivalency requests and substitutions.
  • Proactively assist students in the development of academic plans.
  • Utilize extensive knowledge of academic policies to handle complex advising cases, offering strategic guidance to students.
  • Act as a primary liaison to other college departments, centers, and offices across campus, collaborating closely with the College of Science advising leadership team which may include Associate Deans and Advising Coordinators.
  • Deliver or help facilitate workshops for students in the assigned department(s) within the College of Science, with a focus on preparing and reviewing students for employment, training, or application to subsequent degrees post-graduation.
  • Support the onboarding and enrollment of new freshman and new transfer students with a focus on assigned caseload.
  • Attend all campus-wide advisor trainings related to academic advising.

Academic Progress Oversight

  • Using available technology, monitor and assess students' schedules and progress to ensure they are taking appropriate courses to progress towards their degree goals. Adjust students' academic paths based on changing needs and challenges.
  • Respond strategically to performance alerts and manage student cases with a focus on enhancing academic success and make appropriate referrals to campus resources.
  • Oversee registration processes, contributing to the refinement and improvement of procedures.
  • Upon transition to new advisor or graduation, complete review of academic records to ensure smooth transition to new department, advisor, or graduation.
  • Utilize referral system in Bay Advisor to track transitions.
  • Advising Leadership, International Students, and Special Cases

  • Support college in working with international students including liaising with International Student Advisors in CIE, and IAO, etc.
  • Support ,academic departments and CIE on OPT and CPT questions.
  • Assist with Special Registration forms.
  • Consult with students experiencing academic difficulty and / or the other advisors who support them; assist them in identifying reasons for their academic difficulty and directing them to student support services.
  • Liaison with PSC on advising students whose academic standing indicates that they are at risk of disqualification and those that have been disqualified and / or the other advisors who support them to provide the students with follow-up guidance and support.
  • Project Coordination

  • Develop and implement new advising tools, outreach, and resources.
  • Oversee project execution and outreach initiatives that promote timely degree completion, while documenting progress and outcomes.
  • Coordinate graduation check submission to Registrar's office for all majors served by the CSCI Student Service Center every academic term.
  • Use BayAdvisor to identify student who would benefit from support and provide proactive advising outreach.
  • Office Planning, Management, and Program Development

  • Represent academic advising at key recruitment events and support the transition of incoming students.
  • Enhance student services by strategically leveraging technology, identifying optimal uses for available software.
  • Utilize technology tools to efficiently deliver and monitor all services and student information.
  • Initiate and lead in outreach activities, establishing strong connections with community colleges and local high schools.
  • Minimum Qualifications

    Knowledge and Abilities

    Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. Working knowledge of student services programs outside the program to which immediately assigned. Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.

    Experience

    Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required. A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

    Education

    Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.

  • Make decisions and carry through on actions having implications with regard to other program or service areas.
  • Actively listen to students; provide accurate, respectful and effective communication to students, staff, faculty and administrators; exercise confidentiality, discretion, and judgment; handle moderately sensitive interpersonal issues.
  • Keep supervisor adequately informed, demonstrate regular attendance and positive performance evaluations.
  • Collaborate closely with a diverse population, including students, staff, faculty, and administrators.
  • Assist with workshops and presentations.
  • Proficiency is utilizing software platforms including, but not limited to PeopleSoft, Educational Advisory Board (EAB), Google / Microsoft Office Suite, OnBase, and Canvas.
  • Travel to the Concord campus and other institutions when needed.
