Summary :

We are seeking a highly organized and customer-focused Service Advisor / Service

Administrator to join our dealership’s service department. This dual-role position acts as the

key liaison between our customers and the service technicians, ensuring a seamless and efficient

service experience. The ideal candidate will have a strong understanding of automotive services,

excellent communication skills, and the ability to handle administrative duties with accuracy and

efficiency.

Customer Service & Advisory :

  • Greet customers in a professional and friendly manner.
  • Listen to customer concerns, accurately document service needs, and translate them into clear repair orders.
  • Provide detailed explanations of recommended services, repairs, and estimated costs.
  • Keep customers updated on the status of their vehicles throughout the service process.
  • Review completed work and handle the vehicle delivery process with the customer.
  • Follow up after service to ensure customer satisfaction and address any concerns.

Administrative Duties :

  • Open and close work orders in the dealership’s service management system (CDK).
  • Schedule service appointments and coordinate with technicians for availability.
  • Maintain accurate records of customer interactions, repairs, warranties, and services performed.
  • Process payments, warranty claims, and invoice paperwork in accordance with dealership and manufacturer standards.
  • Assist with inventory tracking of parts and service-related supplies.
  • Support service advisors and technicians with administrative tasks as needed.
  • Required Skills & Qualifications :

  • High school diploma or equivalent; further education or technical training is a plus.
  • Previous experience in a dealership or automotive service environment preferred.
  • Strong knowledge of automotive systems and services.
  • Excellent communication and interpersonal skills.
  • Proficiency with dealership DMS software (CDK) is an asset.
  • Ability to manage multiple tasks in a fast-paced environment.
  • High attention to detail and accuracy in administrative work.
  • Strong problem-solving skills and a customer-first attitude.
  • Valid driver’s license and clean driving record.
  • Working Conditions :

  • Full-time, often Monday through Saturday schedule.
  • Work is performed in a dealership service reception and office environment, with occasional time spent in the workshop or outdoors.
  • May involve standing or walking for extended periods.
