POSITION SUMMARY

The Director of Billing & Collections is responsible for leading and managing the daily operations of the Billing and Collections Department across all business units within the Venture group of companies. This role ensures the development, implementation, and continuous improvement of billing policies, procedures, and systems to optimize revenue generation and operational efficiency. The Director fosters a culture of accountability, innovation, and excellence in service delivery.

ESSENTIAL JOB FUNCTIONS FOR THIS POSITION

  • Develop and implement standardized billing and collections procedures focused on process improvement and waste reduction
  • Maintain comprehensive and up-to-date SOP documentation for all corporate billing and collections practices
  • Cultivate an engaging team culture that promotes autonomy, problem-solving, and continuous learning
  • Recruit, train, and mentor supervisors and team leads with an emphasis on performance metrics and proactive issue resolution
  • Collaborate with business unit and corporate leadership to define credit limits and establish effective strategies for managing delinquent accounts
  • Partner with IT and finance leadership to assess and enhance the effectiveness of billing systems and applications
  • Monitor industry trends and encourage the exploration of innovative solutions to improve billing and collections processes
  • Identify underutilized revenue opportunities and recommend actionable solutions to maximize returns
  • Provide strategic oversight and support to billing and collections staff, ensuring alignment with organizational goals
  • Contribute to the preparation of financial reports, including monthly statements, balance sheets, and income reports
  • Lead regular departmental meetings to align on planning, execution, and performance improvement initiatives
  • Ensure compliance with internal controls, audit requirements, and regulatory standards.
  • Drive cross-functional collaboration to resolve billing discrepancies and improve customer satisfaction.
  • Collaborate closely with Operations and Sales teams to ensure billing accuracy, timely invoicing, and alignment with service delivery and customer expectations.
  • Demonstrate a consistently positive and professional demeanor, fostering a collaborative and inclusive work environment
  • Encourage constructive dialogue for the team, even during periods of change or challenge
  • Handle sensitive information with discretion and integrity. Uphold confidentiality standards in all communications and decisions, ensuring trust and compliance with organizational policies and legal requirements
  • Maintains accurate and timely documentation of employee interactions in accordance with HR policy

OTHER SIGNIFICANT JOB FUNCTIONS INCLUDE

  • Maintaining regular and reliable attendance, along with being available in an on-call status
  • Perform additional duties as assigned
  • Comply with company policies and procedures and all applicable laws and regulations
  • Requirements :

    REQUIRED EDUCATION / EXPERIENCE

  • Bachelor’s degree in a business-related discipline
  • Accounting degree is a plus
  • Minimum of 5–10 years of progressive management or supervisory experience in billing, collections, or other customer service-focused functions
  • Experience in multi-entity or multi-location environments preferred
  • Experience in logistics and transportation preferred
  • REQUIRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)

  • Proficiency with invoicing processes within transportation management systems such as TMW and McLeod, and Microsoft Great Plains
  • Strong analytical and problem-solving skills
  • Advanced proficiency in Microsoft Excel
  • Excellent written and verbal communication skills
  • Ability to lead and influence cross-functional teams
  • Strong organizational and time management skills
  • Ability to adapt to evolving responsibilities and organizational changes
  • Ability to work and communicate effectively with others, promoting a team environment
  • Accepts constructive criticism with professionalism and uses it as a tool for continuous learning and skill enhancement
  • Effectively communicates with personnel at all organizational levels, both internal and external, to foster collaboration and drive process improvements
  • Strong listening skills to fully understand customer concerns, able to respond with thoughtful solutions, and handle criticism constructively and without emotional reactivity
