The Opportunity :
The Event Manager I position provides leadership, professional expertise, and direction in the planning and execution of high-quality events and functions. This position demonstrates a high level of creativity, resourcefulness, strategic planning and dynamic decision-making with significant impact on university or functional unit / area. The Event Manager facilitates the needs of clients, sponsors and vendors as they relate to events.
Responsibilities :
Oversees implementation of policies and procedures about the planning and organizing of university or functional unit / area events.
Interprets administrative polices, laws, and regulations and ensures university or functional unit / area follows state and federal tax mandates.
Produces and directs live events and presentations, to include live web streams for official UCF events.
Collaborates with UCF entities to plan and execute meetings and special events; includes, but is not limited to, representing area in planning meetings, anticipating multimedia challenges for these events, and designing multimedia equipment setups and elements for events.
Reviews and approves event related marketing information for promotion of meetings and events & represents the university or functional unit / area at meetings and events & serves on various committees as needed & performs related duties as required / deemed appropriate to the accomplishment of the responsibilities and functions of area.
Supervises and manages events personnel on day to day activities and manages all logistical aspects of university and / or functional unit / area meetings and events including site selection, facility contract negotiations, event specification development, development and review of event contracts, and other related responsibilities.
Negotiates contracts and agreements with on- and off- campus vendors, providing them with appropriate specifications, obtaining bids, and coordinating their activities throughout the event planning process and creates event invoices, reports, and maintains inventory catalog of equipment.
Responsible for attendee solicitation, registration, and tracking & develops, controls, and administers event operational budgets and oversees the preparation and management of budget analysis and reports.
Minimum Qualifications :
Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .
Preferred Qualifications :
Bachelor's or Master's degree in Event Management, Hospitality, Marketing, Communications, or a related field.
Professional certification in Event Planning or Project Management (e.g., CMP, PMP) is a plus.
3-5 years of experience planning and executing events of varying scale and complexity.
Demonstrated success in budget management, vendor coordination, and logistical execution.
Exceptional communication skills, both written and verbal, with a professional presentation style.
Strong organizational, interpersonal, and administrative abilities.
Proven ability to deliver exceptional customer service in a fast-paced environment.
Creative problem-solver with a proactive mindset and attention to detail.
Skilled in project management, with the ability to prioritize tasks and meet tight deadlines.
Comfortable working under pressure and managing multiple projects simultaneously.
Team-oriented leader with a service-driven approach.
Willingness to work occasional evenings and weekends .
