Event Manager

Nestled within the historic charm of Endicott College's Wylie Inn & Tupper Manor, the Event Manager position offers the opportunity to craft exceptional events in a setting rich with character and tradition. We are seeking a dynamic and detail-oriented Corporate Event Manager to plan, coordinate corporate events at our conference center. This role involves managing the full event lifecycle, from client consultation and planning to execution and post-event follow-up, ensuring every event runs smoothly, meets client expectations, and enhances our reputation as a premier event venue.

Key Responsibilities :

  • Serve as the primary point of contact for corporate clients.
  • Understand client goals, budget, and preferences to develop tailored event plans.
  • Conduct venue tours and provide expert advice on room layouts, technology, catering, and logistics.
  • Provide on-site technology support.
  • Create detailed event proposals, timelines, and floor plans.
  • Collaborate with internal teams (Endicott AV, catering, housekeeping, setup crew) to ensure seamless event delivery.
  • Source and manage third-party vendors as needed.
  • Coordinate event setup, execution, and breakdown according to agreed plans.
  • Oversee onsite operations, troubleshoot issues in real time, and ensure client satisfaction.
  • Conduct post-event evaluations with clients to gather feedback.
  • Prepare internal reports on event outcomes and areas for improvement.
  • Other Duties as assigned

Community Engagement

Be an active participant in the life of the College by attending and supporting key events like Commencement, Homecoming, and other all-hands-on-deck gatherings. Show a spirit of collaboration and community involvement, including volunteering when possible.

Reporting Structure

Reports to the Executive Director of Wylie. Works under general supervision

  • Qualifications and Skills

  • High school diploma or equivalent required; a degree in hospitality, event management, business, or a related field preferred.
  • Minimum of 3 years of experience in event management, hotel operations, or food and beverage service.
  • Minimum of 2 years of experience overseeing staff, including setting performance goals, training, and professional development.
  • Strong leadership skills with the ability to motivate and direct a team in a fast-paced environment.
  • Exceptional customer service skills with a passion for creating memorable guest experiences.
  • Outstanding organizational and time-management abilities with strong attention to detail.
  • Effective communication and problem-solving skills, with the ability to adapt quickly in high-pressure situations.
  • Proficiency in event management software, Microsoft Office Suite, and point-of-sale systems is a plus.
  • Familiarity with hospitality industry trends and best practices to drive continuous improvement and innovation.
  • Experience developing budgets, managing event profitability, and contributing to revenue growth initiatives.
  • Ability to negotiate vendor contracts and build strategic partnerships to enhance event offerings and guest experience.
  • Willingness to work a flexible schedule, including evenings, weekends, and holidays as dictated by event needs.
  • Ability to travel occasionally for business development, networking, and industry conferences.
