We are looking for a highly organized and detail-oriented Client Service Associate with Financial Service experience to provide critical support to advisors while ensuring a seamless and exceptional client experience. This long-term contract position is based in Toledo, Ohio, and requires an individual with relevant experience who excels in prioritizing tasks and maintaining accuracy in a fast-paced environment.
Responsibilities :
- Prepare client meeting materials and complete follow-up documentation, ensuring all service requests are processed promptly and accurately.
- Manage investment and insurance applications with precision, adhering to deadlines and compliance standards.
- Track the insurance underwriting process and communicate updates to clients in a timely and organized manner.
- Coordinate investment account activities, including opening, funding, and trading operations.
- Maintain up-to-date and accurate client records using organizational systems and custodial platforms.
- Collaborate with custodians and vendors to address and resolve account-related concerns efficiently.
- Ensure adherence to confidentiality policies and regulatory guidelines while supporting compliance standards.
- Assist advisors in delivering a seamless and high-quality experience for clients.
- Handle general administrative tasks to optimize office operations and workflow.
- Utilize tools like Microsoft Office Suite and Wellscape to manage calendars and travel arrangements effectively.
- Proven proficiency in Microsoft Office Suite and organization-specific software, including Wellscape.
- Active Series 6 and Series 63 licenses or the ability to obtain them within three months of starting employment.
- Strong organizational skills and attention to detail, with the ability to meet tight deadlines of 24-48 hours.
- Experience in systems management and accurately handling financial paperwork.
- Ability to manage calendars, coordinate travel arrangements, and organize executive meetings.
- Excellent communication and problem-solving skills, with a client-first mindset.
- Familiarity with financial services processes, including account management and compliance protocols.
