Summary

Whatcom County Prosecuting Attorney's Office is hiring a Temporary Extra Help employee for 10-15 hours a week to provide clerical office support focused on records management. This position works under close direction from the Chief of Staff. Specific duties will include scanning and digitizing a variety of documents with a high level of accuracy, maintaining a confidential and well-organized filing system, and importing records into the case management system with careful attention to detail, proper categorization, and version control. The position also involves conducting routine audits to ensure accuracy and completeness of records, assisting in the development and implementation of document control procedures, and performing other tasks as assigned. A strong emphasis is placed on organization, consistency, and maintaining data integrity throughout all aspects of the work.

Responsibilities

  • Strong organizational skills – maintain structured filing systems and manage large volumes of documents efficiently.
  • Attention to detail – ensure accuracy when scanning, filing, and importing documents; spotting inconsistencies or errors.
  • Confidentiality and discretion – comfortable handling sensitive or private information in compliance with policies and procedures.
  • Time management – prioritize tasks and meet deadlines in a fast-paced or high-volume environment.
  • Basic computer skills – familiarity with scanning equipment, Microsoft Office (Word, Excel, Outlook), and PDF tools.
  • Problem-solving – identify and resolve discrepancies or issues with document organization and storage.
  • Communication – clear written and verbal communication when working with team members or reporting issues.
  • Ability to follow procedures – comfortable working within established protocols and compliance standards.
  • Adaptability – willingness to take on new tasks or adjust to changes in workflow or systems.

Qualifications

  • Requires high school diploma or GED and two years of progressively responsible general office, clerical and / or secretarial experience.
  • Experience in a legal setting preferred.
  • Must be able to lift 20 pounds.
  • Background check must meet County criteria.
  • At its sole discretion, Whatcom County may consider combinations of education, experience, certifications, and training in lieu of specifically required qualifications contained herein.
  • Working Hours

  • 10-15 hours per week.
  • Schedule is flexible. 8 : 30 AM - 5 : 00 PM; Monday - Friday
  • This job is not eligible for remote work and must be performed on site.
  • Note : This position is not eligible for benefits.
