Staff Assistant - 64059990

The incumbent, an employee of the Florida Department of Health in Clay County, works to protect, promote and improve the health of all people in Florida through integrated state, county, and community efforts. The incumbent may have access to records containing social security numbers in the performance of job duties.

Administrative and Client Support Duties

  • Answer telephones, route / transfer calls appropriately
  • Schedule and reschedule client appointments
  • Explain and process eligibility determinations
  • Verify client insurance
  • Distribute and collect client surveys as directed
  • Convey client messages to the clinical team and other staff as needed
  • Confirm client appointments
  • Prepare letters, reports, and forms as directed
  • Maintain a clean and organized lobby area

Medical Records Management

  • Process release of medical information requests to obtain records from other healthcare facilities and private physicians
  • Track and manage incoming and outgoing medical records
  • Maintain current documentation on confidentiality and compliance regulations as mandated by FDOH
  • Coordinate with the legal office regarding medical records-related legal issues
  • Scan medical records requests into HMS for electronic filing
  • Process all outgoing medical records requests
  • Vital Statistics Support

  • Serve as backup to the Records Technician for issuing certified birth and death certificates to authorized applicants
  • Ensure proper procedures are followed for record issuance
  • Process electronic credit card orders via VitalChek
  • Reconcile end-of-day reports to ensure accurate fund entry
  • Fax Management

  • Retrieve and distribute incoming facsimiles via eFax for the primary agency fax number
  • Process outbound faxes as requested
  • Other Duties

  • Perform additional duties as assigned

  • Proficiency in Microsoft Office
  • Knowledge of standard office procedures and practices
  • Ability to enter and interpret data accurately
  • Effective communication skills with internal and external customers
  • Ability to collect, evaluate, and analyze data related to clinical office procedures
  • Understanding and application of relevant rules, regulations, policies, and procedures

  • Qualifications

    Minimum

  • Must have experience using Microsoft Office Suite.
  • Must have a working knowledge of HIPPA rules and regulations.
  • Must have experience handling multi-line phone systems.
  • Must have experience in using electronic medical records systems.
  • Preferred

  • Bilingual
  • Comfortable multitasking and working as part of team.
