Role Description
We are seeking a detail-oriented and reliable Administrative Secretary to support our property
management team. This individual will handle daily office operations, ensure efficient task
management, and serve as a key point of contact for residents and vendors. The ideal
candidate will be organized, adaptable, and capable of working in a fast-paced environment. This role requires 20 hours per week with flexibility for occasional additional hours based on business needs.
Primary Responsibilities
- Rent Management : Record and apply rent payments accurately using property management software.
- Mail Handling : Open, sort, and distribute office mail daily.
- Document Management : Scan, file, and maintain documents for easy retrieval.
- Communication : Serve as the first point of contact for residents and vendors. Answer calls, address inquiries, and provide accurate information with professional phone etiquette.
- Software Proficiency : Use property management software to maintain records, ledgers, and reports.
- Office Maintenance : Keep the office space clean, organized, and presentable.
- Supply Management : Track and order office supplies to ensure adequate stock.
- Errands : Perform local city runs, drop-offs, and other assigned errands.
- Additional Support : Carry out other administrative tasks as needed to assist the property management team.

Proven administrative experience with strong data entry and record-keeping skillsStrong communication skills and professional phone etiquetteHighly organized with excellent attention to detailProficiency with technology; AppFolio and HubSpot experience strongly preferredPreferred Qualifications
