ABOUT THE ROLE
The Office Manager of the Milan office is a vital role, providing guidance and advice to all managers, supervisors, attorneys and staff when it comes to the general business operations of the firm. A key part of this role is supervising and developing staff across a range of functional areas, in collaboration with global colleagues. The Office Manager also serves as a business partner across the global matrix organisation that is Latham. Examples of key responsibilities are :
- Working closely with the Office Managing Partner to administer department accounts, approve expenses, and prepare the annual budget for the office in conjunction with firm-wide budgeting guidelines. Reviewing variances monthly, and providing analysis and reports to effectively manage the office budget throughout the year.
- Collaborating with firm Directors, Office Administrators, and other responsible parties to interpret and monitor the implementation of the Firm's practices, policies, and procedures; ensuring they are aligned with the goals and strategic plan for the Firm.
- Acting as liaison to managers, supervisors, and attorneys regarding all operations that support client services and needs of the legal staff. Providing high-level support and resources to all partners and employees within the practice office.
- Researching, developing and recommending approaches to management issues. Collaborating with attorneys, managers, supervisors and staff to administer solutions and resolve issues. Planning for the changing needs of the Firm and practice office, and contributing to cost-effective management.
- Coordinating internal communication efforts with Latham management to develop office initiatives and educate attorneys, staff, and others about recent developments and trends.
- Monitoring and supporting billing completion, including reviewing WIP and A / R balances. Reviewing monthly billing and collections reports and providing analysis and background information to Office Managing Partner, Director of Administration, office Finance Committee member and Global Finance Committee chair. Ensuring adequate staffing to billing attorneys and local billing team to maximize billing and collections efforts. Acting as a business partner for the global real estate department in the context of landlord relations, lease negotiations, office construction projects and efficient and optimal usage of office space.
- Working with other global and practice Office Administrators / Chief Officers / Directors on special projects as needed
- Promoting effective work practices and a collegial atmosphere, working as a team member, and showing respect for co-workers

Possess good general management skills and a willingness to build strong knowledge base in finance (accounting and budgetary principles / processes), human resources, operations / facilities, technology / information services, change initiatives, and planning.Have excellent leadership skills (i.e., organizing, planning, problem-solving and decision-making) necessary for effective management to complement your well developed and professional interpersonal skills; allowing you to interact effectively with people at all organizational levels of the firm.Can demonstrate the ability to think creatively and engage with senior management on a variety of organizational and operational topics.And have :
Full proficiency in Italian and EnglishFive (5) years progressively responsible office management experience.
