Position Summary
Align Health & Spine is hiring a dependable, detail-oriented Office Manager / Medical Assistant to join our team. While this position may occasionally assist with clinical duties, it is primarily focused on overseeing daily administrative operations, team coordination, and practice efficiency. The ideal candidate will bring leadership, organization, and flexibility to support both the front desk and back office as needed.
Key Responsibilities
Office Management & Administrative Oversight Primary Role
- Manage front office workflows including patient check-in / out, scheduling, and communication
- Oversee staff schedules, supply ordering, and daily operational efficiency
- Ensure clinic compliance with HIPAA, OSHA, and internal procedural standards
- Support leadership with staff training, performance feedback, and process improvement
- Facilitate billing coordination, records management, and insurance documentation
- Report to executive management with regular updates on operations and team performance
- Maintain a professional, organized, and welcoming clinic environment
Clinical Support As Needed
Step in to assist with patient intake, vitals, and accident-related histories during high volume timesSupport therapy applications such as EMS, cold laser, hot packs, and mechanical tractionHelp prepare patients for chiropractic and medical evaluationsAssist providers with documentation in ChiroTouch and treatment trackingEnsure treatment areas remain clean, organized, and fully stockedCase Management & Billing Coordination Required Job Functions
Oversee accurate CPT and ICD-10 code entry into ChiroTouch EHRCoordinate lien documentation, superbills, and medical record releasesLiaise with law offices on patient treatment summaries and case-related inquiriesTrack imaging, medical documentation, and communication timelines for personal injury filesRequired Qualifications
Medical Assistant (MA) RequiredBilingual (English / Spanish) RequiredMust reside in Tucson, Arizona RequiredPrior experience in Office Management or Front Desk LeadershipWorking knowledge of HIPAA compliance and legal-medical processesPrior experience with medical billing, ICD-10 / CPT coding, or legal-medical communicationsProficient with Microsoft Office (Word and Excel)Multitasking, team support, and clear, proactive communication.Preferred Qualifications
Experience with Personal Injury case documentationFamiliarity with ChiroTouch, Practice Fusion or similar EHR systemsStrong leadership and organizational skillsCompensation & Benefits
