Position Overview :

We are seeking a detail-oriented, client-focused Client Billing and Account Specialist to own all client billing and quoting processes while supporting overall client success. This role manages ad hoc and recurring invoices, prepares quotes for additional client work, and ensures accurate financial records in collaboration with internal teams.

Key Responsibilities :

  • Manage monthly recurring and ad hoc invoicing.
  • Prepare, send, and track invoices.
  • Follow up on outstanding invoices professionally and promptly.
  • Ensure proper capture of billable client requests from Project Managers and Support.
  • Prepare and deliver quotes for new client requests and additional project work.
  • Collaborate with internal teams to scope and price work accurately.
  • Track quote approvals and ensure smooth handoff to project teams.
  • Maintain accurate client records in the CRM, including proposals, retainers, and site details.
  • Monitor account engagement and proactively reach out to explore updates, enhancements, and new Octane offerings.
  • Serve as a liaison between clients and internal teams for billing and account-related needs.
  • Perform additional duties as requested.

Skills & Qualifications :

  • High School Diploma.
  • 2 years of college level business courses preferred.
  • Strong organizational and financial accuracy skills.
  • Excellent communication, both written and verbal, with a professional client-facing approach.
  • Ability to prepare accurate quotes and pricing based on project scope.
  • Proficiency with CRM tools and ability to learn new systems quickly.
  • Detail-oriented, proactive, and comfortable managing multiple priorities.
  • Previous billing, A / R or basic accounting experience.
  • Proficiency with Quickbooks.
  • Organized and meticulous in recordkeeping.
  • Advanced computer skills in Microsoft Excel, PowerPoint, and Word.
  • Approachable and solutions-oriented with a client-first mindset.
  • Thrives in a dynamic, fast-paced environment.
