Order Processing Specialist (Irvine)

About the Role :

We are seeking a detail-oriented and highly organized Order Processing Specialist to join our client's team. In this role, you will be responsible for managing the end-to-end order lifecycle-from receiving and verifying customer orders to coordinating fulfillment and ensuring timely delivery. The ideal candidate is proactive, accurate, and thrives in a fast-paced environment where communication and problem-solving are key.

Key Responsibilities :

Accurately enter and process customer orders into the ERP / CRM system.

Review purchase orders for accuracy, pricing, product availability, and compliance with company policies.

Coordinate with sales, warehouse, logistics, and finance teams to ensure smooth order fulfillment.

Monitor order status and proactively update customers regarding delays, backorders, or changes.

Generate invoices, shipping documents, and other order-related reports.

Resolve discrepancies related to pricing, inventory, or shipping in a timely manner.

Maintain accurate records of customer interactions, orders, and transactions.

Support process improvements to streamline order management and enhance customer experience.

Qualifications :

2+ years of experience in order processing, customer service, logistics, or a related administrative role.

Strong attention to detail with excellent organizational and multitasking skills.

Proficiency with Microsoft Office Suite (Excel, Outlook, Word); experience with ERP / CRM systems preferred (SAP, Oracle, NetSuite, etc.).

Excellent communication skills, both verbal and written.

Ability to work independently and collaboratively in a team environment.

Strong problem-solving skills with a customer-focused mindset.
