The State of Rhode Island is seeking a highly organized and proficient administrative professional to join the Center for Educational and Professional Excellence. This is a 35-hour per week contract opening with regular daytime hours (8 : 00 AM – 4 : 00 PM).
The ideal candidate will provide essential administrative and clerical support to the Center's leadership and education team. Your role will be critical in ensuring the smooth coordination of training, orientation, and professional development activities while maintaining strict compliance with hospital and regulatory standards.
Key Duties and Responsibilities :
- Assist with the hospital's Learning Management System (LMS), including course enrollment, tracking employee completion data, and generating reports.
- Maintain, update, and ensure the accuracy of employee educational databases, primarily utilizing Excel.
- Communicate orientation schedules to departments.
- Prepare and organize learning packets and materials.
- Serve as the welcoming face for new employees, facilitating the onboarding process.
- Review new employee documents and perform data entry into SharePoint.
- Provide clerical support such as copying, scanning, filing, and document preparation for the Organizational Development and Education teams.
- Leverage key systems like Workday, SharePoint, and PowerPoint for departmental projects, communications, and data input.
- Monitor inventory and order office supplies to ensure continuous departmental operations.
Qualifications and Requirements :
Two (2) or more years of experience in a dedicated administrative support role.High school diploma or equivalent is required; an Associate’s degree is preferred.Experience in a healthcare or educational setting is preferred.Bilingual candidates are strongly encouraged to apply.Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Familiarity with HR and Learning systems, specifically Workday, SharePoint, and Learning Management Systems (LMS), is strongly preferred.Exceptional organizational skills and a keen attention to detail.Excellent verbal and written communication skills to interact with staff at all levels.Proven ability to manage and prioritize multiple deadlines in a dynamic environment.Professional demeanor required for interacting with new hires and hospital leadership.
