The Summit Owners Association, located directly on the white sands of Panama City Beach, is a vibrant community serving full-time residents, vacationing guests, and timeshare owners. Were currently seeking a detail-oriented and dependable Administrative Assistant / Bookkeeper to join our on-site team and help keep our office and finances running smoothly.
Position Summary
As our Administrative Assistant / Bookkeeper, youll play a key role in supporting both the day-to-day administrative needs and the financial operations of the Association. From greeting owners and guests to managing QuickBooks, reconciling accounts, processing payroll, and preparing reports, this is a hands-on role that requires accuracy, integrity, and great communication skills.
Key Responsibilities
Provide administrative support and serve as the first point of contact for owners, guests, vendors, and contractors.Manage bookkeeping functions using QuickBooks, including accounts payable / receivable and general ledger entries.Prepare monthly financial statements, assist with annual budget, and work with external accountants and auditors.Process payroll, maintain accurate records, and ensure compliance with applicable laws and association policies.Support Board of Directors meetings (e.g., preparing reports, transcribing minutes,).Maintain filing systems, track contracts, and assist with special projects and office tasks.What Were Looking For
Experience : Minimum 2 years bookkeeping / accounting experience. Condominium, Home Owner Association, or property management experience is a plus.Education : Associate degree in Accounting, Business, or related field preferred.Skills : Proficient in QuickBooks, Microsoft Office (Excel, Word, Outlook), and general office software. Strong organizational, multitasking, and customer service skills.Attributes : Trustworthy, detail-oriented, and able to handle sensitive financial and personnel information with discretion.Other Requirements : Valid Florida drivers license and ability to pass a background check.Schedule & Compensation
