As Kansas City’s Botanical Garden, Powell Gardens provides 175 acres of recreation, adventure, and exploration. Established in 1988, Powell Gardens is a non-profit, public garden containing display gardens with rotating botanical displays, notable plant collections, seasonal programming and events, a three-mile nature trail, educational classes, art, architecture, breathtaking views, and more.

Summary
The Specialist, Visitor Engagement- Programs and Event Support, primary focus will be to support the planned programs and events of Powell Gardens by assisting the Manager, Public Programs, Manager, Visitor Experience and Director, Visitor Engagement. This role will assist in the planning and execution of programming and events throughout the Gardens each season. The position plays a critical role in advancing the Garden’s mission to engage current patrons, first-time visitors, and future visitors by continually improving and refreshing the Gardens’ experience and developing approaches that serve as a model for other gardens.
Essential Functions
Operational Quality
- Collaborates extensively with department managers and director to adhere to budgets related to public programs and events
- Serves as lead person for assigned events and exhibitions
- Upholds the accuracy of the gardens’ calendar in Tripleseat in collaboration with Manager, Public Programs and Manager, Visitor Experience
- Effectively utilizes Altru database for marketing and activation decisions
- Verify the use and accuracy of record-keeping systems for tracking visitor participation and engagement
- Processes and approves invoices for timely vendor payment
Department Administration
Collaborate with Visitor Engagement team sections to ensure successful event executionCoordinate with the volunteer manager team to develop event staffing plans and manage the volunteers while on-site for eventsWork with team to develop and maintain department forms and processes around program and even planningFacilities
Manage communication with custodial and maintenance, development, volunteer program and other visitor engagement team members to ensure smooth transitions during the day-to-day operation of the department and between group events and activitiesPerform quality control audit of guest spaces and submit necessary work order forms to the maintenance and custodial departments to keep spaces in a guest-ready and tidy mannerGroup Sales Order Execution
Build and maintain strong relationships with existing and potential clients through customer service and prompt follow-upCollaborate with the Communications and Development teams to ensure cohesive messaging around brand and sponsorship opportunitiesProcess group tours, bulk tickets sales correctly and in timely manner.Plan details of group tours and be ongoing point of contact for group tours / group sales customersProvide regular reports to the department and organization when neededOther Duties
Work festival shifts and manager on duty shifts as assigned with associated tasksAssist other areas of the Visitor Engagement team as needed (Education, Programs, Private Events, Visitor Experience)Act as backup for the Manager, Visitor Engagement and Manager, Public Programs and EventsProvide troubleshooting and direction as neededMaintain relationships with other departments, to ensure employees and volunteers are successful in supporting their operational needsExperience / Education
High School Diploma or GED RequiredBachelor's degree in related field PreferredEquivalent Work ExperienceValid Drivers LicenseKnowledge

Primarily 40 hours a week with availability Monday through Sunday, 8 am to 5 pm, with evenings and weekends as required, during festivals and special events and longer hours as projects and deadlines require. Able to remain in a stationary position up to 50% of the time; move about inside the office to perform normal duties; stand for long periods; lift up to 50 pounds; and move throughout a multi-facility work location.
