Job Summary :
The Case Manager Assistant / PI Medical Collector plays a key role in supporting attorneys and case managers throughout the lifecycle of personal injury cases. This position combines administrative, client communication, and medical collections responsibilities — ensuring that cases progress efficiently and that all medical bills and liens are properly handled before settlement. The ideal candidate is detail-oriented, organized, and comfortable communicating with clients, medical providers, and insurance representatives.
Key Responsibilities :
Case Management Support :
- Assist case managers with day-to-day case tasks and deadlines.
- Communicate regularly with clients to provide updates and collect necessary information.
- Request and track medical records, police reports, insurance documents, and billing statements.
- Maintain accurate and organized case files in the firm’s case management system ( Filevine).
- Update client contact information, treatment progress, and case notes consistently.
- Prepare summaries, reports, and documents for attorney or case manager review.
- Coordinate with medical providers to verify treatment and obtain lien agreements.
Medical Collections :
Review case files to identify outstanding medical balances and liens.Communicate with medical offices, billing departments, and lien holders to confirm balances or negotiate reductions.Track lien releases, billing adjustments, and payment confirmations.Ensure all medical bills are properly reflected in settlement disbursement sheets.Maintain detailed notes and documentation of all communications.Support the accounting or settlement team by providing accurate lien and billing information before case closure.Qualifications :
High school diploma or equivalent required; associate degree preferred.2+ years of experience in a personal injury law firm, medical billing, or insurance-related field.Knowledge of personal injury case flow, medical liens, and insurance billing.Excellent communication, negotiation, and organizational skills.Strong attention to detail and ability to manage multiple cases at once.Proficiency in Microsoft Office and case management software (Filevine experience a plus).Professional, compassionate, and client-focused demeanor.Bilingual (English / Spanish or Armenian or Farsi) strongly preferred.Preferred Skills :
Familiarity with CPT codes, EOBs, and healthcare billing statements.Experience communicating with Medi-Cal, Medicare, or third-party lienholders.Understanding of settlement process and lien resolution.
