The Software Contract Specialist is responsible for all aspects of software licensing agreements, ensuring compliance, negotiating favorable terms, and overseeing the entire contract lifecycle. This role will draft, review and negotiate software contracts as well as monitoring their performance and execution. They will establish recurring and usage reporting to leadership. This role also includes managing relationships with multiple vendors and internal stakeholders related to software contracts and licensing.

Responsibilities

  • Software Contract Lifecycle Management : Develop, implement and maintain a software contract / subscription tracking system that includes contract terms, usage information.
  • Oversees the entire software contracting process including : Receiving initial request; Drafting and negotiating Statement of Work (SOW); Compliance and legal review; Security and integration review; Execution of agreement; Termination of agreement as necessary and appropriate.
  • Communication : Serve as a liaison between internal stakeholders and software contractors; Communicate contract requirements, status and potential issues to stakeholders; Provide clear and concise information regarding current contract software features.
  • Documentation And Compliance : Maintain accurate and detailed records of all new software contract requests; Determine appropriate timeframes for extension / renegotiation / cancellation of contracts in accordance with Hoskinson policies and standard practices; Tracking key milestones for contract performance; Provides reports and analysis on software contract performance including metrics related to cost, license utilization, and vendor performance.
  • Customer Service : Address stakeholder inquiries regarding the contracting process; Provide exceptional customer service by resolving issues and answering questions efficiently and professionally.
  • Collaboration And Coordination : Work closely with healthcare providers and administrative staff to gather information about current software contracts and required future software needs; Collaborate across every department to ensure software products are being effectively utilized without duplication of features; Assist in the development and implementation of policies and procedures related to contract management.

Education / Certifications / Licenses Required

  • High school diploma or equivalent required; Associate's or Bachelor's degree in healthcare administration, medical billing and coding, or a related field preferred.
  • Minimum of 2 years of experience in a contract management setting, preferably in the medical field.
  • Required Skills / Abilities

  • Communication Skills : Excellent verbal and written communication skills.
  • Ability to determine software contract needs and clearly and concisely explain these to vendors.
  • Sets and manages stakeholder expectations.
  • Attention to Detail : Strong organizational skills and meticulous attention to detail. Ability to manage multiple requests and prioritize tasks effectively.
  • Technical Skills : Proficiency with healthcare information systems. Familiarity with medical and construction software products.
  • Problem-Solving : Strong analytical and problem-solving skills.
  • Ability to navigate complex software requirements and resolve contract issues.
  • Interpersonal Skills : Excellent customer service skills with a team-centered approach. Ability to work effectively in a team environment and collaborate with various stakeholders.
  • Physical Requirements : Light work - exerting up to 15 pounds of force occasionally. Requires the ability to work designated shift lengths (including 8 and 12 hours). Prolonged periods of sitting at a desk and working on a computer and standing, bending and moving.
