Job Description

Our client is looking for an Executive Assistant reporting directly to the CEO, that will serve as a key liaison to the Board of Directors and senior management teams, coordinate executive outreach and external relations, and oversee special projects.

Please Note : Candidates must be local and able to commute to NYC, preferably near Grand Central. The position will begin onsite, with the opportunity to transition to a hybrid schedule (3 days in-office).

Responsibilities :

Process travel expenses and reimbursements.

Handle highly confidential information with discretion.

Attend select meetings on behalf of the CEO, as needed.

Collaborate with other departments on CEO-led projects.

Monitor progress on key deliverables and help drive completion.

Prepare briefing materials, agendas, and presentations for meetings.

Record meeting notes, track action items, and ensure timely follow-up.

Support strategic initiatives and assist in planning company events.

Uphold and promote the company’s core values in all interactions.

Manage and maintain the CEO’s calendar, appointments, and travel.

Anticipate scheduling conflicts and prioritize meetings effectively.

Coordinate internal and external meetings with senior stakeholders.

Be the primary point of contact between the CEO and internal / external partners.

Draft, review, and manage emails, reports, memos, and other forms of communication.

Plan and coordinate complex domestic and international travel, including itineraries, accommodation, and logistics.

Qualifications :

Strong written and verbal communication skills.

Proficiency with Microsoft Office Suite and other productivity tools.

3+ years of executive assistant or high-level administrative experience.

High level of discretion and professionalism in handling sensitive matters.

Ability to thrive in a collaborative, entrepreneurial, and fast-moving environment.

Excellent organizational skills with proven ability to manage multiple priorities.

Bachelor’s degree preferred (e.g., Business Administration, Communications, or related field); Associate degree accepted with equivalent executive support experience.
