Overview
The Florida Department of Environmental Protection protects, conserves and manages the state's natural resources and enforces its environmental laws. Each position works together as a whole to advance Florida's position as a world leader in protecting natural resources while growing the state's economy.
Responsibilities
- Conduct organizational studies and evaluations on office procedures, provide technical assistance, and develop procedures to assist the South District to operate more efficiently and effectively. This position is highly independent and responsible for a wide variety of complex administrative duties in the South District's Business Planning Administrative (BPA) team. It provides full performance level administrative support for the South District's Permitting Program and Compliance Assistance Program (CAP). The incumbent is expected to apply Continuous Improvement principles to reduce waste, improve processes, and provide services that add value to customers.
- Permitting Program Support : provide administrative support for complex actions of the regulatory permitting programs, assign workload to permit processors, coordinate workload with supervising staff, generate weekly reports, analyze workload for improvements, process applications and correspondence, organize and maintain e-files and databases, communicate with customers, and coordinate permitting activities with BPA and staff to promote efficiency.
- Compliance Assistance Program (CAP) Support : maintain knowledge of CAP operations, receive and research complaints, update data in CAP tracking systems, monitor compliance reports, assist with MORs and DMRs, maintain enforcement and inspection tracking, prepare monthly reports, train CAP staff on tracking databases, prepare enforcement documents, assist customers with status updates, and coordinate CAP activities with staff.
- Business Planning Support : collaborate with the BPA team and management to ensure document handling, database updates, and timely public information responses; support public records requests; recommend process improvements; implement total quality management and LEAN principles; conduct outreach to the regulated community for process clarification and assistance with DEP's web-based services.
- Assists with Cash Receiving Application (CRA) responsibilities following revenue processing policies : receiving, logging, safeguarding checks, depositing funds, and processing fee requests and check returns.
Qualifications
Knowledge of administration and business management concepts and analytical techniques.Ability to apply applicable regulations, policies, and procedures related to office and business programs.Ability to compile and analyze data; plan, organize, coordinate, and ensure completion of work per procedures.Problem-solving skills and ability to propose improvements within parameters.Proficiency in Microsoft Office suite (Outlook, Word, Excel, OneNote, OneDrive, PowerPoint).Strong written communication and the ability to prepare correspondence using standard business formats.Ability to manage e-file records, update databases, and track information accurately.Time management, multi-tasking, and ability to meet expectations.Ability to work independently or in a team and to communicate effectively.Professional interaction with the public; courteous and tactful.Ability to lift items weighing up to 20 pounds.Minimum Qualifications
At least 2 years of verifiable related experience in administrative support or other professional-related experience. Post-secondary degrees may be used as an alternative for the required years of experience on a year-for-year basis. A credential evaluation report from an approved agency must be submitted with all foreign degrees.Valid Driver LicenseTravel is required, including overnightPosition of Special Trust
