Job Summary

The Digital Repository and Archives Assistant supports the organization, preservation, and accessibility of both digital and physical collections in the library. Reporting to the Director of Library Services, this position plays a vital role in maintaining the institutional repository, assisting with digital preservation efforts, and contributing to the development and promotion of archives and special collections.

The assistant collaborates closely with library staff, faculty, and students to support academic and research needs, while gaining hands-on experience with archival practices and digital preservation tools. Responsibilities include promoting the digital repository and archiving student work, organizing digital materials according to best practices, and working across departments to ensure that collections are preserved, accessible, and aligned with institutional goals.

Responsibilities

  • Digital Preservation. (60%)
  • Assists in managing and maintaining the library's digital collections, including uploading, organizing, and updating digital files in the institutional repository.
  • Supports the implementation of digital preservation workflows and tools to ensure long-term accessibility of digital materials.
  • Helps monitor the condition and integrity of digital files; flags issues and suggests improvements to supervisor.
  • Collaborates with faculty to identify student work and other institutional materials for inclusion in the repository.
  • Creates basic metadata and applies standards to ensure materials are discoverable and well-organized.
  • Participates in outreach and training efforts to promote the repository and digital collections to the university community.
  • Stays informed of evolving best practices and technologies in digital archiving through professional development and training opportunities.
  • Archives / Collection Development. (30%)
  • Organizes and maintains physical archival collections, including Carter artifacts and related historical materials.
  • Assesses and processes donated books and materials for potential inclusion in the library's collection.
  • Aids in tracking collection usage and identifying gaps or areas for growth.
  • Supports the creation and maintenance of displays and exhibits that showcase library and archival materials.
  • Other duties. (10%)
  • Performs other duties as assigned to support the overall goals of the library.

Required Qualifications

  • Bachelor's degree in history, library science, information studies, or a related field; or equivalent combination of education and experience.
  • Interest in digital preservation and archival work.
  • Willingness to learn new technologies and follow detailed procedures.
  • Preferred Qualifications

  • Experience working or volunteering in a library, archive, museum, or similar setting.
  • Familiarity with digital repositories (e.g., DSpace, CONTENTdm) or metadata standards (e.g., Dublin Core).
  • Knowledge, Skills, & Abilities

  • Strong organizational skills and attention to detail.
  • Ability to learn and apply digital preservation and archival practices.
  • Comfortable working with digital tools and learning new software.
  • Good communication and interpersonal skills; able to work collaboratively in a team environment.
  • Interest in archives, libraries, or digital content management.
  • Familiarity with or willingness to learn about metadata, copyright, and digital rights in an academic setting.
