SUMMARY / OBJECTIVE
The Private Client Operations Associate , based in Hollywood, CA, provides critical operational support to the Private Client Sales team. This role ensures flawless execution behind the scenes, maintaining inventory accuracy, overseeing shipments, and assisting with VIP client requests. The Associate will be entrusted with handling luxury product, managing the stockroom and jewelry safe, and coordinating logistics to support the Private Client Manager and high-value clients with the highest level of discretion and efficiency.
ESSENTIAL FUNCTIONS
Stock Organization & Inventory Management
- Maintain a meticulously organized stockroom with properly tagged, retrievable merchandise.
- Receive transfer orders (TOs) both physically and in system; verify accuracy.
- Conduct regular cycle counts and support quarterly physical inventories.
- Identify and report inventory discrepancies, ensuring timely resolution.
- Maintain back-of-house stock to prevent damages and support seamless operations.
Jewelry Safe Management
Organize and maintain the jewelry safe, categorizing pieces for easy retrieval.Accurately record all product movements in the safe binder.Shipping, Packing & Receiving
Prepare secure, compliant shipments (domestic and international) with accurate documentation.Track and confirm all outgoing deliveries to ensure on-time arrival.Personally deliver high-priority or VIP orders as needed.Receive, unpack, and reconcile incoming shipments (including RITA and store pullbacks).Supply Management
Monitor, replenish, and organize all packing and operational supplies (bags, ribbon, tissue, pouches, boxes, etc.).Maintain the factory supply cabinet for accessibility and efficiency.Private Client Engagements
Partner with the Private Client Manager to fulfill VIP requests : product pulls, invoicing, PDFs, purchase history, and order status updates.Coordinate order placement, shipping, and delivery for Private Client transactions.Assist with Private Client events and factory visits, including preparation, setup, product pulls, documentation, invoicing, and guest gifting.Maintain Private Client warehouse inventory, ensuring items are clean, organized, and tagged.Factory Coordination & Special Projects
Facilitate Private Client, employee, and Stark family repairs from intake to final delivery.Support gifting initiatives, including invoicing, wrapping, and distribution.Assist with internal purchases (CHE / CHJ / employee orders), ensuring smooth product pulls, order checks, and delivery.Retag and re-integrate press loan returns into Private Client stock.Provide direct, confidential support to the Stark family and extended family as required.General Support
Proactively monitor daily replenishment needs and pick-up schedules.Ensure the timely delivery of all purchases and gifts through careful shipping logistics or direct delivery.Assist the Private Client Manager with special projects, urgent priorities, and confidential tasks.QUALIFICATIONS
High school diploma or equivalent required; Associate or Bachelor's degree preferred.Proven experience in luxury retail, operations, or logistics.Valid driver's license required.Proficiency in Microsoft Office (with intermediate knowledge of Excel), email, and inventory management software (D365, MPOS, or similar); willingness to learn new tools.Knowledge of shipping software; international shipping experience preferred.COMPETENCIES / SKILLS
