About the Indiana State Library : The Indiana State Library and Historical Bureau is a public library building, located in Indianapolis, Indiana. It is the largest public library in the state of Indiana, housing over 60,000 manuscripts. Established in 1934, the library has gathered a large collection of books on a vast variety of topics.

Role Overview

  • Participate in activities related to the Indiana Division of the Indiana State Library, including submitting regular blogs, designing displays, participating in stacks maintenance, participating in department meetings, submitting social media posts, and helping with library-wide events and initiatives etc.
  • Cover the IYRC (Indiana Young Readers Center) desk as needed with the assistance of the Children’s Consultant, volunteers, and work study students. Create weekly desk schedules for IYRC librarian, as well as Children’s Consultant, volunteers, and work study students, when applicable.
  • Manage IYRC volunteers and work study students, when applicable.
  • Oversee day-to-day maintenance of the IYRC physical space including but not limited to shelving materials, tidying shelves, organizing toys, maintaining and developing exhibits, and periodic cleaning of toys and exhibits, etc. Report any issues with exhibits, banners, cleaning, etc. and make sure issues are reported to you.
  • Oversee IYRC collection development including purchasing and inventory. Orders are usually sent quarterly. (See IYRC Collection Development Guidelines for more info). Materials are purchased using the IYRC federal fund when available.
  • Oversee purchase requests for general items or supplies for the IYRC. Supplies may include items for the IYRC, for storytimes, programs, or other use for work. These purchases will come from the IYRC federal fund when available.
  • Develop, plan, and oversee programming for youth at the Indiana State Library, including ongoing and new programs (e.g., Statehood Day, summer programs, etc.). Document information and metrics.
  • Schedule and organize field trips and tours for youth groups. This includes partnerships with area schools, area homeschool groups, the Indiana Statehouse Tour Office, Indiana State Library staff, group leaders, the Statehouse Education Center, and the Building Manager for room reservations and set-up. Lead field trips and tours, and train other Indiana State Library staff on field trips, to ensure coverage of field trips and tours. Document information and metrics.
  • Track all IYRC metrics including but not limited to tours, field trips, programs, storytimes, foot traffic, and kit circulation program and report these to supervisor monthly. Submit monthly narrative activity reports in addition to metrics. Submit weekly constituent report when applicable.
  • Manage the Indiana State Library’s circulating kit program, with the assistance of the Children’s Consultant, including the maintenance and development of a variety of kits including but not limited to book club kits, storytime kits, Lego and Duplo kits, Escape Experience kits, and tech kits. This includes checking kits in and out, general maintenance of kits, and the knowledge of and use of the management software for this program.
  • Offer webinars or professional conference sessions about the IYRC or the Indiana Center for the Book when appropriate.
  • Represent the Indiana State Library at various booths and exhibits throughout the year when appropriate (e.g. Homeschool Convention, State Fair, etc.).
  • Maintain the Indiana Children’s Authors and Illustrators website using WordPress. Update lists according to guidelines set for the directory (born in Indiana, lived in Indiana for a significant period, currently lives in Indiana, published works).
  • Serve on the Education Outreach Committee to provide support to the committee and assist in promoting resources to students and educators.
  • Work with TeachingBooks.net annually to create print materials to promote TeachingBooks.net through the INSPIRE contract. Work with TeachingBooks.net annually to coordinate purchase of new book club kits.
  • Manage and respond to all email directed to your state email address, the Indiana Center for the Book email address (icb@library.in.gov), and the Indiana Young Readers Center email address (youngreaderscenter@library.in.gov).
  • Represent Indiana in the national Center for the Book network. Participate actively in the network including submitting reports, attending virtual meetings, attending in-person meetings when able, and serving on committees when available. Assess Indiana Center for the Book activities and make strategic decisions about projects and programming including adding new programs or sunsetting others when appropriate.
  • In your capacity as the director of the Indiana Center for the Book, maintain, develop, and nurture partnerships with area agencies that have a focus on writing, literacy, literature, local authors, or literary heritage including but not limited to Indiana Humanities, Indy Reads, the Indiana Historical Society, the Indiana Writers Center, public libraries, colleges and universities, poetry organizations, and other state agencies.
  • Coordinate Indiana’s presence at the National Book Festival annually.
  • Host the annual Gathering of Writers at the Indiana State Library in partnership with the Indiana Writers Center.
  • Coordinate the Indiana Statehood Day Essay Contest annually along with Statehood Day events in partnership with the Indiana Statehouse Tour Office.
  • Chair the Indiana Early Literacy Firefly Award including planning meetings, coordinating award cycle duties, publicizing and communicating award information, managing relationships with publishers, releasing a program guide annually, and the development of and retaining committee members.
  • Coordinate the Indiana Letters About Literature contest annually including the publication of the annual LAL Anthology, coordinating an annual virtual celebration, promoting the contest, and developing and maintaining relationships with teachers and local authors.
  • Collaborate with Children’s Consultant on IYRC programming and children’s literacy initiatives where appropriate.

Salary Statement :

The salary for this position traditionally starts at $53,222.00 but may be commensurate with education or work experience.

A Day in the Life :

The essential elements of the job duties :

  • Provide leadership in developing informational resources, programs, policies and guide the use of the Indiana State Library’s collections by recommending appropriate materials and resources to government agencies, elected officials, visually impaired residents of Indiana, as well as the general public
  • Participate and direct development, acquisition and processing of electronic databases and print resources.
  • Develop, acquire, and enhance access to paper-based and born-digital collections and publications, as well as audio-visual materials.
  • Provide consultative services in specialized areas to personnel and governing bodies in all types of libraries regarding information services, management, public relations, library material acquisitions, programs, personnel, automation, long-range planning, network services and evaluation of services.
  • Act as liaison with federal and state programs and their officials involved with the development, implementation, and performance of service within Indiana State Library.
  • Assist in identifying and analyzing specialized research databases.
  • Ensure conformity to Indiana State Library Collection Development Policy and federal and state standards for specialized library services and cooperative programs.
  • Assist management with short and long-term planning for library services.
  • Write content for agency social media accounts, as well as articles for state and national newsletters and journals upon request.
  • Give presentations to groups and organizations.
  • Develop and teach ongoing workshops and classes as determined appropriate to meet the needs of the public, like-minded organizations, and / or regional libraries.
  • Prepare reports which assist management in understanding the current conditions of performance, future trends in the field of library science and needed changes including guidelines and procedures.

    This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and / or paid leave taken to receive their base biweekly salary.

    What You\'ll Need for Success :

    You must meet the following requirements to be considered for employment :

  • Master of Library Science and a broad knowledge of the ISL and other libraries.
  • Obtain certification by the Indiana State Library and Historical Board as a LC3 within 6 months of hire.
  • Minimum of one (1) year of full-time experience as a Librarian.
  • Expertise with integrated library systems (ILS), such as Evergreen Indiana, and other library management software programs.
  • Specialized knowledge and awareness of Indiana State Library Collection Development Policy.
  • Ability to analyze, evaluate and prioritize materials for digitization based on accuracy, usability and budget authority, scope, treatment, arrangement, format, and usability.
  • Mastery of applicable federal and state standards for specialized library services and cooperative programs.
  • Broad knowledge of specialized conservation and preservation techniques and how to apply them.
  • Specialized knowledge in subject areas and information retrieval, especially electronic mediums.
  • Ability to remain current in technological advances and in library sciences.
  • Able to perform essential functions with or without reasonable accommodation.
  • Supervisory Responsibilities / Direct Reports : This role may be utilized in a supervisory capacity based on agency needs.
